Patent Formalities Specialist

Our client is a prominent Intellectual Property (IP) firm known for its exceptional services in safeguarding and managing intellectual assets for clients across diverse industries. Our client is seeking a dedicated Formalities Specialist to join the esteemed team. In this role, the Formalities Specialist will be instrumental in ensuring the accuracy and efficiency of administrative processes related to IP documentation. This is an exciting opportunity for individuals with a keen eye for detail and a passion for intellectual property.

Key Responsibilities:

  • Monitoring and managing the firm’s email inboxes (including Team inboxes)
  • Monitoring and maintaining internal reminders and deadlines
  • Taking an active role in documenting key processes and keep documented
  • processes current
  • Regular liaison with clients, fee earners and other members of the firm
  • Taking an active role in training and mentoring other staff new to the department/team
  • Proactively suggesting areas where our processes, systems, and documentation could be improved
  • Other ad hoc or project duties that may arise within the Formalities Team or other areas of the firm
  • Preparing documents and forms for submission to patent and trade mark offices (PTOs)
  • Double checking work processed by others

Requirements:

  • A CIPA qualification is advantageous
  • Previous experience in a formalities or administrative role within an IP firm or legal environment is preferred
  • Experience in maintaining records where a high degree of accuracy was crucial
  • Exceptional attention to detail and organisational skills
  • Strong written and verbal communication abilities.
  • Proficiency in IP management software and the Microsoft Office Suite
  • Ability to thrive in a fast-paced, collaborative work environment
