Purpose of the role

To provide administrative support to the wider People team across the employee lifecycle, including payroll, benefits, data analytics and ad hoc reporting requirements in line with GDPR requirement.



Responsibilities


  • To support the employee lifecycle from recruitment through to off boarding.
  • To support the on-boarding of employees including preparation of new starter packs, contracts of employment, completing the background screening process and DSE assessment and all other requirements in line with the onboarding process.
  • Process all leaver documentation, maintaining trackers as required and diarising leaver dates in the relevant calendars.
  • Create HR MI dashboard monthly pulling information from a range of sources.
  • Full responsibility for maintaining all records (ADP) as appropriate and in accordance with procedures ensuring all deadlines and responsibilities are met.
  • Maintain the People Team BAU tracker with all key dates and deliverables.
  • To work collaboratively with the in-house Payroll and Benefits Partner to ensure the correct documents are in place for the administration of the monthly payroll.
  • To work collaboratively with the HRBP to ensure all benefit records are 100% accurate at all times.
  • To manage the People Team inbox and respond or redirect queries from colleagues and managers in accordance with procedures, employment legislation and best practice within 48 hours SLA.
  • Maintain the People Team files, ensuring management and storing of data is in line with GDPR requirements.
  • Set up mandatory training via the LMS on a quarterly basis and as/when required.
  • Manage eyecare vouchers via People inbox.
  • Complete reference requests.
  • Administer pulse surveys and Employee Opinion surveys and take responsibility for data presentation for the CPO.
  • Mail merging on an ad hoc basis.
  • Ad hoc reporting as and when required.
  • Support the People team with annual bonus and salary round specifically with advanced Excel skills and mail merge.



Skills and experience


  • Proficient in Microsoft Office 365 including word and excel at advanced level.
  • Knowledge of the fundamentals of Data Protection and the need for confidentiality.
  • Strong communication and organisational skills.
  • Knowledge of UK employment law preferable.
  • Prior experience of supporting a payroll.
  • Desire to understand and work in a fast paced and strategic People team.
