A leading tech business are in search of a top-class strategic level EA to join their team and support the CEO on an 18 month FTC.
As an innovative tech company, this is an interesting and dynamic company with a collaborative, forward thinking and flexible team. As an experienced Senior Executive Assistant, you will provide comprehensive support to the CEO (with minimal potential overspill to the co-Founder) ensuring the smooth operation of day-to-day activities while actively contributing to strategic initiatives and business development efforts. The ideal candidate will be a proactive, detail-oriented professional with exceptional communication and organisational skills, capable of thriving in a fast-paced and ever-evolving environment.
ROLE:
As the Executive Assistant to the Chief Executive, you will act in true partnership, providing strategic level support, acting as a confidante and right hand to your Exec while being a vital connection point within the organisation and with senior external stakeholders.
Key Tasks/Responsibilities:
- Act as the primary point of contact and facilitators for the CEO, managing their time and communications with efficiency and professionalism.
- Provide complex diary management factoring in thinking time and being 3 steps ahead in managing priorities
- Full inbox management and complex travel management
- Prepare and organise materials for meetings, including agendas, presentations, and supporting documents, and provide follow-up support as needed.
- Full Board support including scheduling meetings and prep (materials, minutes, actions, follow up)
- Anticipate and proactively address the needs of the CEO, handling inquiries, requests, and issues with tact and discretion.
- Liaise with the SLT and assist in arranging meetings, fostering strong team relationships and providing regular project and company updates
- Assist with project and act as an additional pair of hands with client work related to the CEO
- Arrange all company meetings
- Assist with special projects, events, and ad-hoc tasks as required, demonstrating flexibility and adaptability in a dynamic environment.
- Act as Lead EA, providing support and mentoring to the PA/ EA team and ensuring high quality output
- Liaise with key stakeholders, UHNW clients and managing internal relationships
REQUIREMENTS:
- Proven experience as a strategic Executive Assistant to CEO.
- Experience managing / leading a team of PA's (mentoring, performance management, and professional development)
- Experience from within a similar professional services, tech or finance
- Experience dealing with senior-level external stakeholders.
- Proactive and highly organised with the ability to anticipate, communicate, and manage opportunities and challenges.
- Strategic with high-level, pre-emptive thinking
- Able to manage up effectively and provide partnership support
- Resilient, calm under pressure and able to navigate an agile work environment
- Excellent communication skills, both written and verbal, with the ability to interact effectively with internal and external stakeholders at all levels.
- Demonstrates professionalism and integrity
- Exceptional attention to detail, and ability to prioritise tasks in a dynamic environment.
- Ability to maintain confidentiality, exercise sound judgment, and handle sensitive information with discretion and professionalism.
- Top class attention to detail and excellent writing abilities for drafting emails, reports, and meeting minutes that are clear, concise, and professional.
- Ability to work at pace without compromising on quality of work
- Ability to work flexibly in response to the needs of the business
