Salary:£13.89per hour with an uplift to £14.46 when managing an out of hours event.

About the role

As the Event Manager, youll be responsible for the management of events liaising with client in the lead up as well as managing the live event.

This role will be rota based to meet the demands of the department. Contracted hours will be of an ad hoc nature withthe majority ofhours being at evenings and weekends. There will be office time allocated each month to ensure client support in the lead up to the event.

There is the opportunity to pick up hours above your contracted hours when the events team is busy.

About the team

With a wide range of venues and spaces including the Rosalind Franklin Room on the top floor with terraces overlooking the city, a Planetarium, two floors of exhibition spaces and Millennium Square, we can host a huge variety of events including conferences, drinks receptions, parties, weddings, festivals, educational talks, private shows and awards ceremonies.

The Venue Hire team manage all external event bookings in We The Curious working closely with other teams to ensure the smooth coordination and delivery of live events across the site.

Income from event bookings is one of the ways we raise income as a charity.

Role specific responsibilities

  • Delivering events with the flexibility to work early mornings, late evenings and weekends, taking responsibility for operations of the building outside of normal operatinghours(managingfire evacuation,Health and Safety procedure,safeguardingand liaising with emergency services when required).
  • Liaising with clients frequently in the lead up to their events to provide advice and to ensure that all requirements are understood and documented.
  • Ensuring that event spaces are set-up, clean and tidy with an eye for detail with a hands-on approach to any physical tasks.
  • Providing excellent customer service, empathising with clients frustrations solving problems effectively, adapting to changing circumstances and working under pressure.
  • Collaborating and communicating effectively with other teams & suppliers to ensure that each event is smooth running from start to finish.
  • Managing and co-ordinating event support staff during live events, set ups and breakdowns.
  • Support the operational needs of the department, ensuring that we have the resources available to deliver high quality events.
  • Collate client feedback and debrief with the team to enhance the offer and understand guests needs.
  • Ensure that the administration for each event is completed accurately and efficiently, including extras invoicing and chasing any outstandingaccounts.
  • In quieter operational times you may be asked to respond to venue hire enquiries and bookings ensuring that they are fielded professionally and efficiently.

  • Experience of leading a team and passionate about getting the most out of people.
  • You are highly organised andare able tomultitask and prioritise in a busy role.
  • You have excellent written, verbal and interpersonal communication skills.
  • Youhave the ability toabsorb information and pick up systems confidently and quickly.
  • Ability to think on your feet and provide solutions during live events.
  • Desirable - Administration experience, ideally in a sales or events environment
