Purpose of the role

As the Logistics and Inventory Analyst for Phoebe Philo, you will support the day to day running of our warehouse and global carriage operations, as well as coordinating inventory activities within our logistics operations. You will ensure that delivery timelines and SLAs are met by our external logistics partners, monitor our stock holding as well as our outbound and return deliveries, while processing all administration related to these areas. You will be a key point of contact for internal stakeholders regarding our logistics activities, including our inventory processes, while leading the creation and distribution of timely and insightful logistics and inventory reporting for the wider business.


Responsibilities


Logistics Operations

  • 3PL Collaboration: Establish and maintain strong relationships with our 3PL.
  • Daily reporting & monitoring of outbound and return shipments across all channels.
  • Liaise daily with our 3PL warehouse to monitor timely operational processing.
  • Manage internal orders for the business, including staff orders and press requests; inclusive of arranging special delivery services.
  • Creation and monitoring of effective reporting to identify missing product data required for compliant export and sales of our product, as well as communication with internal teams to close these gaps within agreed timelines.
  • Collaborate on request lead times and quality control measures to ensure a seamless supply chain, and to coordinate storage requirements, considering our warehouse capabilities.
  • Evaluate and improve internal processes and system functionality on a regular basis.
  • Support continuous improvement activities involving our 3PL warehouse processes, as well as our wider supply chain processes, in order to reduce costs, optimise sales and improve our customer experience.
  • Lead the creation and updating of reports for our Logistics team across multiple platforms and ensure their distribution to wider internal and external stakeholders, while providing insightful analysis of trends and identifying opportunities for improvement.


Shipping & Returns Coordination

  • Support our Logistics Assistant to manage orders encountering delivery issues: implementing solutions to ensure timely resolutions.
  • Action process improvements to mitigate issues identified regarding the transport and customs clearance of outbound and return orders across multiple channels.
  • Support our Logistics Assistant to compile all required shipping documentation and distribute this to relevant carriers, freight forwarders and customers.
  • Carry out ad hoc tasks as the business grows.


Inventory Coordination

  • Strategic Packaging Inventory Planning: execute a comprehensive packaging inventory management strategy aligned with the brand's overall business goals. This includes defining packaging stock levels, reorder points, and replenishment schedules.
  • Stock Level Forecasting: Ensure optimal utilisation of space at our 3PL warehouse and ensure necessary storage is always available by liaising with our Production, Finance and Merchandising teams to accurately forecast 3PL stock levels and storage requirements.
  • Stock Reconciliation: Conduct regular stock reconciliations to identify and rectify discrepancies. Implement corrective actions to enhance accuracy in stock records and minimize losses.
  • Action the rechannelling of stock in a timely manner to maximise sales potential.
  • Reporting and Analysis: Generate and analyse regular reports on inventory performance, identifying key trends, opportunities, and areas for improvement. Provide actionable insights to the Logistics Operations Manager for informed decision-making.
  • Compliance and Quality Assurance: Ensure compliance with industry regulations and internal quality standards. Collaborate with production teams to maintain the highest product quality throughout the inventory lifecycle.
  • Product Availability: Maintain diligent oversight of inbound and returned stock, ensuring high availability.
  • Reporting of Stock Risk: Create reports to identify slow or non-moving stock and communicate beneficial analysis to internal stakeholders to mitigate obsolescence.
  • Stock Loss Prevention: Collaborate with our 3PL partner to avoid potential stock loss.


Internal Stakeholder Communication

  • Technology Integration: support the implementation and testing of advanced inventory management technologies to enhance efficiency.
  • Training: Providing guidance and training to different stakeholders on how to check inventory levels, produce and distribute the different reports related to inventory for the different stakeholders.
  • Actively communicate with customer service and production teams related to quality feedback from customers.
  • Daily reporting to key internal stakeholders for both outbound and return shipments in transit and processing.
  • Support our Logistics Assistant in streamlining workflows and enhance overall efficiency of processes with our customer service and private client teams.



Measures of Success

  • Maintaining high levels of inventory accuracy between systems and physical stock holding.
  • Maximise order fulfilment through proactive inventory discrepancy resolution and reporting on stock in different channels and the provision of insightful analysis.
  • Distribution and utilisation of accurate, informative and beneficial reporting.
  • Minimise stock loss for the company.
  • Resolving any customs issues in clearance in a timely manner.
  • Reduce resolution time for customer claims and issues.
  • Ensuring all administrative responsibilities are completed within the agreed timeframe.


Qualifications, Skills, Experience Required

  • 4+ years of logistics experience.
  • Experience within the luxury fashion industry is ideal.
  • Experience in stock control operations handling multiple SKUs is advantageous.
  • Experience in coordinating 3PL stock operations.
  • Customer service experience is beneficial.
  • Basic knowledge of customs clearance procedures is helpful.
  • Ideal to have experience with Brightpearl.
  • Advanced knowledge of Microsoft Excel and experience with Microsoft Office.
  • Strong written and verbal communication skills with the ability to work across internal and external stakeholders.
  • Strong organisational skills.
  • Excellence in working under pressure and delivering on multiple priorities.
  • Strong initiative, taking ownership of tasks and follow-through.
  • Flexibility to travel to our European warehouse.
  • Italian language is a plus.
