Role Overview

The focus of the role is to manage the day to day processing and renewals of benefits, primarily for the UK population but also to include EMEA. In addition, this role will support the introduction of flexible benefits as well as supporting the pensions manager for pensions administration. The role holder will be a key point of contact for all UK employees.

Role Responsibilities

TP ICAP UK Benefits Provision

The candidate will be involved in managing;
  • Risk benefits (Life Assurance and Income Protection)
  • Salary Sacrifice schemes (Childcare Vouchers and Cycle to Work)
  • Medical Insurance, Digital GP service, Private GP service and Wellness (including Flu Vaccination)
  • Season Ticket Loans, Employee Assistance Programme, Eye Care Vouchers, Electric Vehicles
  • Discount Programme, Health Assessments, Long Service Awards
  • Pension scheme administration
Additional benefits may be added to the scope of this role as the benefit structure evolves.

Benefits and Pensions
  • Processing of employee membership of all benefits and pension schemes including new hires, leavers or change requests and always in accordance with the scheme rules. The processing may be directly on our HR system (Workday), directly on a provider portal or on spreadsheets.
  • Participating in the New Hire induction for UK employees to give an overview of UK benefits and pensions and to ensure that all benefit related paperwork is completed and returned via forms or elected via Workday portal.
  • Owner of all benefit/pension related forms, ensuring they are logged and completed appropriately for all employees; updating Workday where relevant including carrying out an audit of forms already held.
  • Owner of all benefits processes, ensuring they are kept updated on an ongoing basis.
  • Day to day handling of queries and issues raised from providers, pension advisors, brokers and employees escalating only as and when required to Head of Benefits or Pension Manager.
  • Managing Group Income Protection claims management process, including initiating new claims, and processing existing claims.
  • Central tracking and processing of all benefit/pension related invoices.
  • Ensuring that the information provided to employees via the HR intranet remains relevant and updated at all times.
  • Ensuring that all central benefits team master documents are maintained and up-to- date at all times, including the benefit provider contact list and the benefit renewal calendar (amongst other documents).
  • Taking ownership of the regular activity in the team - whether ensuring that information is sent out to colleagues in Finance and Payroll, or that information received from internal or external sources is checked and filed appropriately.
  • Running all provider meetings, recording all actions; following up on those actions to ensure all are completed in a timely manner.
  • Responsibility for monthly payroll processes as they relate to pensions and benefits.
  • Operating the monthly pension auto enrolment assessments and pensions payments in the IT-based pension administration systems.
  • Managing UK and EMEA Scheme renewals, escalating any issues to the Head of Benefits as appropriate, updating to do lists and trackers. Providing administrative support to the Head of Benefits EMEA when needed.
Data Management
  • Ensuring that all employees individual benefits and pension data is entered into Workday.
  • Ensuring that all data is kept confidential and recorded in a timely and accurate manner.
  • Regular review of benefit and pension information on Workday to ensure it is valid and accurate.
  • Regular audit of private medical insurance membership, ensuring that accurate and timely data is sent to our provider of healthcare.
  • Ensuring data and document retention audit is in line with GDPR requirements.
  • Ensuring all data is 4-eyes checked.
  • Providing data as required for the UK flexible benefits project.
Reporting & MI
  • Generating regular reports to show the eligible population according to each benefit and providing details to our benefit providers on a monthly basis to ensure that benefits are only provided to eligible employees.
  • Providing full reporting for our International Private Medical Insurance scheme and EMEA Benefits, to ensure that there is no break in cover.
  • Maintaining Workday records for the population of employees on long term sick.
  • Recording and reporting on benefit utilisation/participation levels as required.
  • Checking and filing of relevant reports and sending to interested parties (internally).
  • Reviewing Leaver and New Hire reports and updating benefits accordingly.
Communications
  • Creating and/or updating process documents that allow a more efficient process and communication of EMEA benefits and UK DC pension schemes such as:
    • Benefit and Pension Processing Guides
    • Scheme Summary for each benefit and pension scheme
    • New hire and Leaver information pack
  • Assisting with the preparation and maintenance of benefits summaries.
  • Updating the Guide to Managing Benefits
Other
  • Working with the team to ensure that processes and practices are enhanced where possible to improve efficiency.
  • Building and maintaining working relationships with colleagues in countries outside of the UK for the purpose of providing employee benefits.
  • Be seen as a go-to person for day to day UK benefit and DC pension queries.
  • Undertake projects or tasks as required - such as researching new benefits that may be introduced.
Experience / Competences

Essential

  • A high level understanding and day to day involvement in the main UK employee benefits Qualified candidates will need to have prior benefits program management experience.
  • The candidate should have previous provable experience of working in Benefits and/or Pensions.
  • Excellent understanding and day to day involvement of main UK employee benefits.
  • Attention to detail is key and strong organisational ability is key.
  • Ability to manage multiple tasks concurrently.
  • Strong analytical and data gathering skills (including Excel).
  • Clear written and verbal communication.
  • Ability to build and maintain relationships internally and externally and demonstrated passion for delivering a great customer experience
Desired
  • Knowledge of EMEA (outside of the UK) benefits.
  • Knowledge of Workday.
