Job Title: Exhibition Design Agency Administrator

Location: Central London

Salary: 30k-35k

Job Type: Full-Time/ Hybrid


The Role:

As the Exhibition Design Agency Administrator, you will act as the vital link between internal sales/ account managers and external build contractors, ensuring that all communications and processes run smoothly. Your main responsibilities will include:

  • Quote Management: Reviewing and verifying all quotes before they are sent to clients to ensure accuracy and consistency with project specifications and budgets.
  • Exhibition Design Review: Assisting in the review of all exhibition designs, ensuring they meet the necessary standards and are ready for implementation.
  • Process Support: Collaborating with internal teams to streamline processes, provide administrative support, and ensure efficient workflow management.
  • Liaison Role: Acting as the key point of contact between internal account managers and external contractors, facilitating clear communication and ensuring project requirements are understood and met.
  • Documentation & Reporting: Maintaining organised records of quotes, designs, and project documentation, and providing regular updates to the team on project status.


Key Responsibilities:

  • Verify the accuracy of all outgoing quotes and proposals.
  • Assist in the review and approval of exhibition designs.
  • Coordinate communication between internal teams and external contractors.
  • Monitor project timelines and ensure deadlines are met.
  • Assist in optimizing internal processes to improve efficiency.
  • Manage documentation, reports, and project files.


Requirements:

  • Proven experience in an administrative role, preferably within a design or creative agency.
  • Strong organisational and multitasking skills.
  • High attention to detail and accuracy, especially when reviewing documents and designs.
  • Excellent communication and interpersonal skills.
  • Ability to work well under pressure and manage multiple projects simultaneously.
  • Familiarity with project management tools and software is a plus.
