We are seeking an experienced Senior Document Controller with a strong background in document control and practical expertise in managing information workflows within the built environment

Job Description


As a Senior Document Controller, you will be instrumental in setting up the systems and processes that will drive our success. In the project's early stages, you will also take on a hands-on role as operations ramp up.


This position is ideal for a seasoned Senior Document Controller ready to step into an Information Manager role, with the capability to manage document control (DC) responsibilities until a dedicated Document Controller is appointed, which is anticipated early in the new year as demand grows.


The appointed Document Controller will report directly to you, and as such, previous experience in line management and mentoring is essential.


Additionally, you will own, update, and audit the project’s Information Management Plan, ensuring we meet our client’s needs and our own internal reporting requirements. Whilst this is a project-based role, you will also benefit from functional leadership and support from our central Digital Delivery team, ensuring access to best practices, resources, and guidance throughout the project lifecycle.


Key Responsibilities


Information and Data Management


  • Oversee the management and control of digital and physical project documentation, ensuring accurate and timely filing, updating, and archiving of all relevant documents.
  • Establish, manage, and control the Common Data Environment (CDE) to ensure the secure storage and exchange of project information.
  • Ensure that all project documentation complies with ISO 19650 and other relevant industry standards.
  • Implement document naming conventions, numbering systems, and version control to ensure consistency and accuracy across all project records.
  • Manage the flow of information between internal teams, subcontractors, consultants, and other external stakeholders.
  • The Information Manager will be actively involved in the hands-on aspects of project mobilisation, ensuring seamless onboarding and setting up information management processes during the initial stages.
  • A key responsibility will be owning and enforcing compliance with the Information Management Plan across all stages of the project. This includes ensuring all team members and subcontractors adhere to established standards and procedures.


BIM and Digital Information Delivery


  • Collaborate with the project team to embed BIM processes throughout the project lifecycle, ensuring alignment with client requirements and contractual obligations.
  • Ensure that all digital information is appropriately structured and delivered according to the Master Information Delivery Plan (MIDP).
  • Conduct regular audits to ensure the accuracy and integrity of all project information.


Document Control and Compliance


  • Monitor and enforce document control procedures to ensure that information is compliant with project, client, and regulatory standards.
  • Implement security measures to protect sensitive and confidential information, ensuring appropriate access control protocols are in place.
  • Track document revisions and ensure that all project teams are working from the latest versions of documents and drawings.
  • Ensure the timely distribution of documents to the relevant stakeholders, maintaining a detailed record of all document transactions.


Collaboration and Communication


  • Serve as the point of contact for all information management-related queries, liaising with internal and external stakeholders to provide guidance and support.
  • Work closely with the Project Manager, Lead Information Manager, and other team members to ensure that information management processes are aligned with project goals.
  • Facilitate the efficient exchange of information between multidisciplinary teams, ensuring effective collaboration throughout the project.


Archiving and Retrieval


  • Develop and implement document archiving procedures, ensuring that both physical and digital documents are stored in a secure and organized manner.
  • Manage the retrieval of archived documents as required, ensuring quick and efficient access to historical records.


Training and Support


  • Provide training and support to project teams and other stakeholders on document control procedures and the use of digital tools, including the CDE and BIM software.
  • Identify areas for improvement and recommend changes to information management processes to enhance efficiency and accuracy.


Qualifications & Experience


Essential


  • Proven experience in Information Management or a similar role, particularly within the construction, infrastructure, or engineering sectors.
  • Strong understanding of Building Information Modelling (BIM) processes and the ISO 19650 standard.
  • Experience with Common Data Environments (CDE) and document control software.
  • Experience in managing large volumes of data and documentation across multiple projects.
  • Strong organisational and communication skills, with the ability to coordinate information effectively across teams and stakeholders.
  • Excellent attention to detail and a proactive approach to solving information management challenges.
  • The successful candidate will have over 5 years of experience in information management, coupled with proven understanding and experience of applying ISO19650 standards.


Desirable


  • Experience with Autodesk Construction Cloud (ACC) and ProjectWise (PW) is a significant advantage, as the role will involve managing digital documentation and workflows using these platforms.
  • Certifications in information management or BIM.
  • Experience in the construction or engineering industry is highly desirable.
