Purpose:
To manage the front of house services. Ensuring that clients and staff are given the best possible welcome and assistance as required. Reporting to the Office Manager to ensure the smooth running of the building. This position requires a high level of customer service, excellent communication skills, and a keen eye for detail. The ideal candidate will be personable, well-presented, and able to handle a variety of administrative tasks with a positive and proactive approach.
Responsibilities:
- Open and or close the premises according to allocated shift pattern.
- Warmly welcome and greet all visitors, clients, and staff with a professional and friendly demeanor.
- Monitor and manage visitor access, ensuring compliance with company security protocols.
- Answer and direct incoming calls, providing accurate information and taking messages when necessary.
- Ensure the reception area is tidy and presentable at all times.
- Ensure meeting rooms are always kept immaculate according to set standards.
- Provide general administrative support including managing correspondence, handling deliveries, and assisting with office supplies inventory.
- Distribute post and book couriers as necessary.
- Manage meeting room bookings, and correspond to find alternative arrangements when needed.
- Maintain high awareness of health and safety, especially in front-of-house areas.
- Any additional tasks as requested.
Skills and Experience Required:
- Proven experience as a receptionist, front office representative, or similar role in a luxury retail environment.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite.
- Strong organisational and multitasking abilities.
- Professional appearance and attitude.
- Ability to be resourceful and proactive in dealing with issues that may arise.
- Customer service-oriented with a genuine interest in helping people.
