This is a permanent position with set contracted hours.


This is a business critical position which reports directly to the owner and ensures the smooth running of his office. You will work independently to provide operational and administrative support and demonstrate initiative, flexibility and excellent judgement. In short, you’ll be as comfortable co-ordinating the minutiae of diary and travel management as being the first port of call with customers, building and nurturing client relationships. A genuine right-hand role, this requires someone who can jump from the big picture to finer detail with consummate ease.


Specific responsibilities include:

  • Pre-emptive support to the team in a fast-paced and changing client service environment – handling calls and inboxes; coordinating schedules and appointments and providing a knowledgeable and confidential sounding board
  • Efficient organisation, scheduling and rescheduling of all events with a clear understanding of business priorities
  • Accurate creation, editing and proofreading of meeting and presentation materials – agendas, minutes, slides etc
  • Clear, concise document research and preparation – reports, contracts, project reviews etc
  • Confident execution of project work and liaison with stakeholders and suppliers
  • Timely anticipation and coordination of travel needs including booking all travel and hotels with directions, commuting time and onward transportation
  • Effective maintenance and monitoring of budgets and expenses
  • Proactive networking with clients and colleagues to consistently develop and improve the business
  • Preventative problem-solving by identifying risks and taking decisive intervention


Specific skills and experience required include:

  • 5+ years in similar role with demonstrable experience of multi-tasking and working closely with key stakeholders
  • Energetic and pragmatic approach with ‘can do’ attitude
  • Proficiency in Microsoft Office, Sharepoint, Teams or similar
  • Excellent written, verbal and interpersonal skills with a keen eye for detail
  • Creativity, adaptability and an ability to think outside the box
  • Curiosity and drive to keep learning; to ask why and to understand the broader objectives
  • Insight and intuition to connect the dots, identify patterns and make predictions
  • Initiative to lean in and instigate new ventures, bringing ideas from the back burner to fruition


Job Type: Part-time and Full-time considered. Flexitime available.

The ideal candidate for this position will excel if they can keep their calm in a high pressure environment coordinating the logistics of the CEO of the company. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO's operations run smoothly. Thus, the candidate should be detail oriented and a creative problem solver.
