The Role:
- Diary Management: Efficiently plan, prepare, and manage schedules for the senior leadership team, including handling calls and arranging meetings.
- Day-to-Day Support: Organize daily activities, coordinate video/conference calls, and manage AV setups.
- Meeting Coordination: Arrange meeting rooms, prepare for guest arrivals, and organize catering for internal meetings.
- Board Administration: Maintain the Board’s schedule, prepare and distribute Board papers, and manage room bookings.
- Travel Coordination: Plan and coordinate local and international travel, including complex itineraries and compliance with travel policies.
- Document Handling: Manage correspondence, file legal documents, and prepare monthly expenses.
- Office Management: Oversee daily office operations, resolve building issues, and coordinate with IT and external vendors.
- Supplier & Vendor Management: Implement and manage contracts for office services and supplies, and maintain budget.
- HR & Facilities: Help handle the starter/leaver process, manage office fit-out, and ensure health and safety compliance.
- Central Point of Contact: Serve as the central go-to point for business needs and adhere to company culture and values.
Requirements:
- The ideal candidate will have experience either working in a Biotech or Pharmaceutical company or within a small company/ start up environment where they have implemented processes to help the business grow and expand.
- 5+ years experience as an Office Manager/EA and someone who is capable of balancing the responsibilities of running the office efficiently day to day while also supporting the C-suite team
