The Sales and Events Executive role is dynamic and multifaceted, requiring a blend of sales expertise, event management skills, and strong interpersonal abilities to support driving business success and create memorable experiences for our clients.


PURPOSE OF THE ROLE:


Your primary responsibilities are to oversee all sales and events administration for our Ticketed Events.

Principal Duties and Responsibilities:


Shared Christmas Parties:


Agency management of shared agencies


  • Regular catch-up calls and enquiry monitoring
  • Monitoring bespoke tiered commission structures
  • Arranging meetings with new and existing agencies regularly to push agency incentive schemes
  • Reaching out to new agencies to work with

Agency listings management


  • Ensure all listings for Shared Parties and Small Exclusives are updated regularly
  • Negotiate listing fees
  • Finding new listing agencies to register with

Calling database for shared parties


  • Using the CRM system to report on historical data
  • Calling previous clients and negotiating offers where necessary
  • Reacting to incoming enquiry
  • Cold calling new data

Reporting for ticketed events


  • Preparing daily ticketing reports
  • Sending e-tickets
  • Printing labels, letters etc to send drinks vouchers
  • Reporting on menu and drinks orders to share with the operations team
  • Management of rota for shared party events (once a year)

Administration of logistics


  • Produce and update all event information and reports for the catering teams and on-site managers.
  • Prepare a weekly sales report including provisional, confirmed and pipeline
  • Ensure reports are communicated accurately and updated within agreed time frames

·Attend shared party events


  • Assisting operations team with on-site queries
  • Scanning tickets and welcoming guests to the venue

Attend trade show events to showcase and promote Smart Parties throughout the year


  • PA show, London Christmas Party Show, etc.
  • Ensuring all data is correctly followed up

Make outgoing courtesy calls to existing and new clients to arrange and finalise their parties


  • Up-selling drinks packages to shared party attendees
  • Taking payments via the CRM system
  • Co-ordinate feedback questionnaires, graphs and results
  • Assist the marketing team, creating campaigns and new offers to promote the shared Christmas parties

Exclusive Christmas Parties:


  • Responding to enquiry for exclusive Christmas events
  • Creating proposals for client’s events including the following venues: Freemasons Hall, Landing Forty Two, Illuminate, The Pelligon, Control Room A
  • Management of diary for Freemasons Gallery
  • Co-ordinate and attend site visits
  • Assist the marketing team, creating campaigns to promote the venues

Other Ticketed events (Bierfest/Royal Ascot etc):


Proactive as well as reactive sales

Manage the administration


  • Report on menu orders
  • Create table plans for London Bierfest
  • Create e-ticketing reports and sending e-tickets

Diary management


  • The appointed person for championing Salesforce in the team
  • Ensuring the calendar is up to date with small exclusive and shared events
