**About the Role**:
Forming part of Breathes Commercial Team, the Commercial and Procurement Administrator will provide a wide range of adminstrative support to multiple project teams to ensure the effective administration, control and co-ordination across our projects. You will assist with matters including commercial project administration, document control, management of contract templates, notices, project and commercial coordination tasks, raising invoices, purchasing and on-boarding administration.
**Duties & Responsibilities**:
- Supporting the Commercial and Procurement team;
- Assisting the Senior Procurement Manager by setting up data relating to the procurement of suppliers and materials for the site teams both Pro-Active and Re-active nature.
- Assist in Control and administering of our Supply Chain database.
- Follow up on new supplier leads and directives from the Senior Procurement manager.
- Assist in rolling out Procurement Initiatives to the construction teams.
- Collating Initiative Data from our supply chain (Zero Carbon data).
- Template management, formatting and collation
- Contract Control
- Co-ordinate meetings
- Commercial projects administration (change of control / variations)
- Sub-contact support - Initial tendering through to supporting admin/notices/raising orders in construction
- Upkeep of commercial and procurement project document registers, KPI Registers, RFI registers, transmittal registers and contact directories;
- Supporting the Project team on commercial matters;
- Liaising with the site teams to help them focus on potential procurement requirements to give the procurement more foresight.
- PQQ’s (chasing/completing)
- On site Variation administration
- Tracking Client contract variation and administration (administration support to the Quantity Surveyor on Early warning notices, compensation events or variation orders)
- Supporting Administration of Procurement and Commercial Share Point Sites and commercial folders in project SharePoint sites
- Attendance at procurement / commercial meetings and commercial project meetings recoding of meeting minutes
- General ad-hoc assistant procurement and commercial duties with the site operational management teams to maximise commercial understanding, efficiency, and opportunities as they arise on site.
- Maintaining effective communication to ensure all information is available for the successful completion of projects and liaising with internal and external parties to ensure efficient document control.
- Assistance with the drive towards Compliance with Environmental, Health, Safety, Security and Quality Standards.
- Delivering all work outputs in an accurate and timely manner.
- Representing and acting as an ambassador for the company in a professional and confidence-inspiring manner.
**Skills & Experience**:
- Knowledge of Microsoft NAV and advantage but training will be given.
- Have a logical understanding, ownership and management of work and data
- Previous experience with working on large data uploads; management and sorting
- Experience using spreadsheet based tracking tools and a SharePoint server
- Ability to work on own initiative
- Demonstrate a “can-do” attitude, using logical and creative approaches to solve complex technical and project-related problems
- Organises own work and shared working environment
- Experience operating autonomously with mínimal supervision
- Attention to detail
- Methodical approach
