as a Hire Desk Controller has become available covering both of our sites in the Burnley & Colne locations.

**Overview**

CVS Vehicle Group is a vehicle hire business based in East Lancashire. Our branches are located in Colne and Burnley providing Short & Long term vehicle hire solutions to the domestic and corporate markets throughout the region. Operating under the Burnley Van Hire & Colne Van Hire brands, we specialise in Panel Van Hire up to 3.5 tonne. We also have a varied range of Cars on our fleet. To support and maintain the compliance demands of our fleet, CVS also operates an in-house vehicle workshop.

The primary responsibility of the HDC will be to manage customer bookings on the front hire desk, respond to inbound enquiries via telephone and the company website and to support the management and preparation of a ‘Ready to Rent’ vehicle fleet.
- **Duties To include but not limited to the following roles and responsibilities.**_

Enquiry & Booking Process
- Ownership of the acquisition of rental customers day to day from inbound enquiry

channels
- Telephone enquiries: to advise customers in their enquiry by qualifying the

requirement and recommending the appropriate vehicle to meet their needs
- To inform the customer of their responsibility in providing certain information (Age,

Identification, Drivers Licence & NI Number etc.) to allow the rental to take place
- To populate their booking in the fleet management system
- To respond utilising a templated quotation of hire and availability in a timely manner (a maximum 30-minute response time is to be aimed for within working hours) Responsiveness to all enquiries is a key element of our company values and success in providing a great customer experience and to maximise our booking ratio.

**Fleet Management**
- To be responsible for the scheduling of hires on the fleet manager software
- Monitor the availability of the fleet for ‘Ready to Rent’ status, Due Out reporting and Damage condition
- Ensure the Fleet Manager System is populated with full and accurate customer information.
- Report any damage to the Area Manager
- Adhere to the company policy on Mileage and usage of vehicles.
- Raise any potential issues to the Branch Manager Contract Completion / Vehicle Handover & Return
- To complete the hire contracts with all required and relevant customer information
- Assist and support the Yard Supervisor at peak periods with Valeting & Customer Handover Process
- To check hirer’s eligibility to hire in accordance with our current insurance policy
- To be responsible for customer payments via merchant facility or account customer billing
- To Bill for any chargeable extras e.g. over mileage, damage, hire extensions etc Miscellaneous Administration & Additional Duties
- To return calls or messages in a timely manner when missed or out of hours
- Where COI (Customers Own Insurance) is utilised, ensure a Cover Note relating to the vehicle is on file
- To Ensure a clean and tidy branch in line with Company image, reporting any issues to the Area Manager

**Skills & Experience**
- A driving licence valid in the UK
- Excellent customer service and communication skills
- A driven individual with a desire to learn and succeed
- Strong Organisational Skills
- PC Literate with ability to utilise Google Suite of Docs
- A good understanding of vehicles and the rental industry (Not Essential)
- Organised, calm and with good attention to detail
- Ability to work as part of a small team and on own initiative
- Superb communication skills, with the ability to work under pressure
- Good time management
- A positive work ethic and ability to be responsive to a flexible workload

**Reporting to: Area Manager**

**Based: Burnley Van Hire, Gannow Lane, Burnley BB12 6JJ & Colne Van Hire, Norfolk Street, BB8 9JH (Rota’s will be provided for the successful applicant)**

Hours of Work: Monday to Friday 8am - 5pm. Saturday’s on a Rota Basis

**Salary**: £22,000 Plus Time & Half for Saturday working

Holiday Entitlement: 21-Days (Excluding Bank Holidays)
