We are looking for someone to support the overall operational efficiency of the EAP department, ensuring accurate forecasting, capacity planning and appropriate staffing levels always. To ensure that all relevant reporting is maintained and completed withinset timescales for all areas. The role will include the day-to-day support to the Workforce Planning Team - ensuring increased productivity, efficiency, and quality service to clients.
The role requires you to assist the Operations Manager, in ensuring that a high standard of service provision is maintained, including adhering to all contractual service level agreements. You will be responsible for the day to day running of the EAP departmentand assist in leading a small planning team. You will be at the forefront of a fast paced and ever-changing environment and provide accurate and proactive forecasting and planning.
**Day-to-Day Responsibilities**:
- Build and maintain advanced capacity plans and forecasting models taking into consideration, inbound and outbound helpline calls, digital contacts and receipt of referrals
- Forecast demand and capacity accurately on a daily, weekly and monthly basis using historical trends MI and forward business plans
- Produce staff forecasting requirements (short and long term) in line with budget and operational requirements.
- Monitoring attrition, absence and shrinkage with the foresight to make recommendations on recruitment and optimise staffing levels.
- To impact assess any movements against the commercial plan, tactical changes, or project implementations, and process/regulatory changes
- Interpret business and marketing plans and build accurate demand forecasts from them
- Assist in presenting recommendations to senior management regarding required recruitment, training, and opportunities to gain efficiency
- Assist in identifying and creating new shift patterns based on forecast demand
- To assist in effectively managing lateness, absences and sickness across EAP and assess impact on capacity and efficiency of the EAP
- To effectively manage annual leave requests and regularly review annual leave caps and assess impact on overall capacity
- To provide support to the team of Workforce Planning Admins with any issues/queries they have
- To assist in training and coaching all new starters within the Workforce Planning team.
- To hold morning workforce planning meetings with the EAP management team and provide accurate reporting and updates from the previous day
- To identify overtime requirements based on forecasting and capacity plans
- Utilise your expert excel skills to analyse, investigate and problem solve; provide robust data to direct and support operational change; and to automate reporting.
- Pre-empt any imminent issues within the current rota period and enlist the willing co-operation of managers to manage excess gaps in resourcing as the need arises.
**It is essential you have the following;**
- An excellent understanding of resource planning methodologies
- Advanced knowledge of Microsoft Excel
- Ability to produce, interpret and present clear management information
- Strong communication and interpersonal skills, including experience with stakeholders at a senior level
- A willingness and ability to learn complex systems and work with extensive data sets
- An analytical mind with a superb eye for detail
