About the Team
- Reporting Directly into an Exec member, forming part of the Assistants team; the role holder will support the Executive Leadership Team within PXC. The Assistants team consist of colleagues in our Manchester head office and our London Office.
- About The Role
- This is a fantastic opportunity for an experienced EA to support the Executive Leadership Team in all aspects of EA duties. As an EA to the Executive leadership team, you will work closely with the Exec’s helping them to be as effective as they possibly can be and make the best use of their time.
- What the day-to-day will look like- This role involves extensive day to day diary management of a busy and complex schedule, including organisation and prioritisation of all internal and external meetings, ensuring effective time management.- You’ll coordinate busy Executive diaries. Co-ordinating the meetings and agendas, managing logistics and in some cases, attending on the day to ensure the meetings run smoothly.- You’ll also arrange and co-ordinate large meetings, including external guests and key business stakeholders liaising with other relevant teams such as the facilities and concierge teams to ensure everything runs to plan.- You’ll ensure the Executive is properly briefed for external meetings and internal presentations.- Producing key documentation for key meetings - this will include but not limited to collating relevant information from the wider team to produce briefing papers and reports.- Communication is key in this role, and you’ll be communicating on behalf of the Executive both internally and externally across all levels through the day-to-day management of their diary and in some cases, their inbox.- You’ll be confident in interacting with internal and external senior stakeholders, developing and maintaining working relationships with the Executive and senior management teams alongside external stakeholders and partners.- You’ll handle travel management including international travel and transfers, ensuring itineraries are produced and where appropriate, Visas are arranged in a timely manner. You will also process expenses and raising purchase orrs in a timely manner.- You’ll have the ability to work on your own initiative, while paying great attention to details and familiarising yourself with the priorities of the business.- You’ll have extensive experience directly supporting a senior executive in an extremely fast-paced and changing environment. A can-do attitude is essential along with great planning and organisation, flexibility and excellent communication skills.- You’ll also provide ad-hoc support to the highest standards, always demonstrating flexibility and total discretion. Provide support to the EA/PA team, creating a culture of collaboration and continuous improvement, ensuring all team members understand the value of their work.
Skills and knowledge required for this role are:
- Strong diary management skills- Making travel arrangements- Organising and maintaining office systems- Working directly with high-level employees- Preparing corporate documents- Maintaining strict confidentiality- Sustaining a level of professionalism among staff/stakeholders- Excellent attention to detail- Excellent organisation and people management skills- Ability to prioritise and multitask efficiently- Strong communication skills- Working knowledge of standard word processing, spreadsheet and other productivity- software tools- Flexibility and adaptability- Discretion and tact
- To be successful in this role you must have:
- Stong evidence of experience as an Executive Assistant on your CV or in a similar role, directly reporting to C-suite.- The ability to work under pressure and deadlines- Flexibility in working hours- Professional and friendly demeanour- Thorough attention to detail- Solid written and verbal communication skills.- Proficient with Microsoft Office Suite and any other similar tools and software.- Have the capacity to be resourceful and flexible in a rapidly changing environment.- Proactive and solutions-oriented with an anticipatory need, taking the initiative.- Integrity in maintaining confidentiality.- High organizational and time management skills and ability to multitask under pressure.
