As a Fleet and Business Services Advisor, you will provide excellent operational support to meet Client expectations.
The Role:

- Provide support to, and act as the first point of contact for field based employees when contacting Head Office
- Provide an efficient support service to the field based employees (including all aspects of fleet services,
admin support, etc)
- Ensure field force vehicle requirements are met
- Sourcing/ordering new vehicles for new starters
- Ensuring vehicle safety is maintained
- Liaison with HR and field based employees when compiling information for inclusion on the P11D report
- Completing relevant vehicle associated paperwork for new starters/leavers and transfers within the business, including maintaining accurate database records
- Ordering and issuing field based employees and where applicable Head Office staff with fuel cards
- Conducting vehicle inspections; challenging damage on vehicles and gathering all required information to satisfy Health and Safety records to maintain standard of vehicles
- Compiling incident reports on a monthly basis to monitor relevant costs per team
- Providing advice to field based employees regarding vehicle repair process e,g. Advising of approved repairers, authorisation of vehicle repairs and liaising with insurance brokers (if required)
- Arranging payment to relevant garages for vehicle repairs upon receipt of invoices
- Ensuring charges for excess deductions are passed to relevant field based employees in line with Driving Policy and Handbook
- Online Driver Risk Assessments
- Liaising with leasing companies, insurance companies and solicitors
- Liaising with Business Services Fleet Drivers to ensure valeting/delivery and collection requirements are met
- Arranging delivery and collection of company vehicles, including liaison with starters/leavers and transfers
- Ensuring leasing arrangements meet current vehicle requirements
- Distribution and monitoring of motoring offences, ensuring relevant charges have been passed onto field based employees and that database records are maintained. Liaison with Client Account Managers to keep them informed of persistent/repeat offenders
- To administer Company incident policy, updating the vehicle database regarding repair status and policy decisions. Completion and distribution of relevant employee correspondence and deductions.
- Ensuring all new employees are set up on internal systems and leavers are taken off these systems.
- Follow organisational processes including maintenance of operating procedures
- To provide statistics detailing lease/fuel and incident expenditure in a formal presentation on a monthly basis.
- Presenting departmental team specific information, taking, distributing and action where appropriate, accurate meeting minutes and assisting in monitoring the completion of action points at Project Team Meetings.
Qualification Requirements:

- Full, UK Driving Licence
- GCSE / O'Level Mathematics and English required (Grade C or above).
- Previous administration experience is essential.
- Working Knowledge of Microsoft Office and Database systems.

- Flexible working arrangement - 3 days in the office, 2 days from home
