Uniperms have an exciting opportunity for a Recruitment Co-ordinator to work within our HR department on a fixed term contract for 12 Months. As a Recruitment Co-ordinator You will be assistant the team with the University of Warwick’s transformation project.
Our vision is to be one of the world's exceptional universities helping transform our region, country and world for the collective good. As we have grown as an institution our services and structures have grown with us. We have regularly reviewed, adapted and improved our approach which has brought great success in certain areas. We recognise the need to further modernise our Professional Services and make things simpler and more consistent for our Professional Services colleagues, our academics and our students.
Warwick Transformation is the programme to help us achieve this. The programme will review all systems, processes and structure of Professional Services teams, both centrally and in departments. The ultimate aim is to ensure our services are designed and function in a way that means we are future-ready. The programme will also create an environment that encourages empowerment and optimal delivery, something our people have regularly asked for.
**Recruitment Advice**
- To undertake regular research to maintain accurate and up to date knowledge of the recruitment market and to work with key contacts within departments to improve their knowledge and understanding of the prevailing recruitment processes, ensuring adherence to agreed University processes and compliance with employment legislation e.g. HM Visa & Immigration right to work regulations, GDPR regulations.
- To develop close working relationships with key department contacts in order to be the first point of reference for more complex recruitment and redeployment queries. Further, to use such regular contact for the exchange of knowledge on recruitment related matters. Where possible, to use initiative to make decisions independently without needing to refer to the Recruitment Manager, ensuring University policies and procedures are followed.
- To undertake training, provide support and quality assurance of work undertaken by HR colleagues based within satellite departments
**Talent Attraction**
- To collate and develop content for the promotion of the University’s recruitment activity via assorted social media platforms.
- To act as an ambassador in promoting the services offered by the Recruitment Team within the University and in developing a broader awareness of the University as an employer by attending job fairs and other community engagement activities.
**Disclosure & Barring Service Checking Service**
- To monitor the DBS resource inbox and manage the queries arising, referring as necessary to the Recruitment Manager.
- To liaise with departments and challenge where necessary requests for DBS checks in order to ensure that the University is requesting checks only where it is lawful to do so.
- To ensure the timely processing of all required DBS checks on the third-party system, dealing with routine queries from all parties concerned (HR colleagues, staff, department representatives).
- To liaise with departments and Central HR Administration as necessary to ensure that employees do not commence any regulated activity before receiving DBS clearance.
- To ensure DBS data in SuccessFactors is up-to-date and accurate - running weekly reports, liaising with department contacts and continually monitoring progress on a case-by-case basis.
- To promote the DBS policy (including the provision of DBS surgeries); to create and maintain written guidance for managing the DBS process.
**Reporting & Data Analysis**
- To produce monthly reports on recruitment and redeployment activity and provide a basic analytical overview as required.
- To be the focal point for responding to workforce/recruitment data requests from external bodies e.g. UCEA
**General Recruitment Administration/Process Improvement**
- In the absence of the Recruitment Manager, to oversee the activity of the HR Administrator (Recruitment) and their management of the shared resource inbox. To act as the first point of escalation for complex queries, responding in a timely manner and referring where necessary to other HR colleagues.
- To maintain a current working knowledge of all recruitment related processes and identify opportunities for continuous improvement.
- To undertake any other duties and responsibilities as required commensurate with the grade of the post.
**Skills and Experience**
**Essential**
- Educated to A level standard or equivalent
- Experience of working in a complex HR or Administrative environment, providing advice and guidance and balancing competing priorities
- Excellent organisation skills
- Ability to respect confidentiality and adhere to GDPR regulations
- Ability to deal with difficult or sensitive issues in a professional manner
