The post holder will provide a comprehensive, quality, confidential administration service in support of the Support Manager/Service Manager. Key requirements of the post are to co-ordinate and troubleshoot the GP Out of Hours and Urgent Care GP clinical rota ensuringthat staffing levels are responsive to and reflect the needs of the service.
The Rota Coordinator will be expected to organise their workload and co-ordinate their activities in conjunction with, and supervised by, the Support Manager/Service Manager to ensure that an efficient service is provided. It is essential that the post holder is able to exercise initiative suitable to the role and is fully supportive to other colleagues in the administrative team.
The post holder will be required to work some evenings and weekends flexibly to meet the needs of the service.
To provide full rota management for the GPs within both the Out of Hours and Urgent Care Services to ensure that an effective service is provided. Mid Cheshire Hospitals NHS Foundation Trust (MCHFT) provides good quality, safe and effective healthcare to the people of Cheshire and beyond. The Trust, which manages Leighton Hospital in Crewe, Victoria Infirmary in Northwich, and Elmhurst Intermediate Care Centre in Winsford, was established as an NHS Trust in April 1991 and became a Foundation Trust in April 2008.

During the Coronavirus pandemic, the Trust was recognised nationally for its Be Safe BeEquiPPEd campaign, which aimed to make the Trust as safe as possible for staff and patients, through supporting the correct use of PPE.
The results in the 2020 national NHS Staff Survey showed improvements in all elements of the safety culture theme, with 92% of respondents feeling their role made a difference to our patients. We were also recognised nationally for our workforce health and wellbeing initiatives.

- Co-ordinate the GP Out of Hours and Urgent Care GP rota, annual leave approval/recording process in line with Standard Operating Procedures ensuring that there are no gaps in service provision. Be responsible for the recording system of GP annual, study and professional leave in support of the Service Manager.
Liaise with GP agencies in line with framework agreements, and cross reference invoices for authorisation purpose on Integra.
- Oversee GP OOH registrar introduction to the service and booking of training shifts.
To provide induction to newly recruited GPs regarding service protocols and procedures when joining the Out of Hours service and ensuring all IT logins for all software is setup.
Provide a comprehensive administration service including uploading special patient notes, liaising with special allocation patients to book appropriate care, actioning out of area patients case notes and prescription recording and maintenance, including support for the Service Manager.
- Maintain constructive relationships with others, within and across Divisions and externally in order to improve the effectiveness and efficiency of services to patients.
- Be fully conversant with all required electronic systems for correspondence, clinic management and the retrieval of results, including obtaining information using the Internet.
- Support the Division to analyse, and act on information to proactively manage and maintain relevant NHS targets, including profiling activity to ensure target requirements are met.
