**JOB TITLE**:HR Admin Coordinator, Corporate**
**DEPARTMENT**:Human Resources
**RESPONSIBLE TO**:Senior HR Business Partner, Corporate
**JOB PURPOS**E**:Working as a key member of The People Team, focused on delivery of select HR processes across the employee lifecycle and general duties related to key Head Office and Cinema Management.
Ensuring that all areas are delivered within best practice and employment legislation guidelines.
**KEY RESPONSIBILITIES**
**Administration**
- Responsible for new starter administration; including proof of eligibility to work in the UK, employment references, tenancy references, VISA references and any other documentation as required
- Setting up and maintaining employee files throughout the employee lifecycle within the appropriate HR System
- Processing invoices accurately within the relevant system and liaising with suppliers where necessary
**Employee relations**
- Coordinating Special Leave processes to ensure that managers meet deadlines and letters are produced as required
- First point of contact for Special Leave process queries
**Recruitment**
- Advertise vacancies on all relevant platforms internally and externally as required by the Hiring Manager
- Review CVs and conduct long-listing exercises if requested
- Arrange feedback as and when requested
**Reward Management**
- Responsible for company car and business use administration and supporting employees throughout the car process including:
- Obtaining relevant documentation
- Managing the insurance database
- Liaison with suppliers and
- Associated processes such as Trade Up Agreements and Interest Free Loans for Electric Vehicle Chargers
- Compiling and maintaining P11d data for company cars
- Managing the hire car and fuel card process
- Deputising for Senior HRBP, Corporate for all queries in relation to current employee benefits and the relevant system
- Administration of the PremierePass Scheme
- Administration of Eye Care Voucher Scheme
- Managing the day to day administration and communication of any employee recognition programme such as long service awards
- Building effective working relationships with the payroll department to ensure effective working practices
- Submitting all monthly payroll information required, to the Payroll department in a timely manner, liaising with cinemas and Head Offices to ensure this is received
- Supporting annual processes such as bonus and pay review
**Communications**
- Defining requirements and coordination of the HR contribution to weekly newsletters to ensure that information is effectively communicated
- Ensure HR documents on the intranets are up to date
**General**
- Providing cover in the absence of the HR Admin team
- Supporting all HR projects as required/assigned
- Working closely with the HR Operations team to ensure that a proactive HR proposition can be achieved across all areas of the employee lifecycle
- Responsible for filing and archiving of all HR documents and files
- Handling departmental post - distribution, franking, recorded delivery
- Responding to all other general correspondence
**ESSENTIAL / DESIRABLE ATTRIBUTES & EXPERIENCE**

- Experience of administrative service delivery within a medium sized organisation
- A desire to build and maintain productive relationships with internal stakeholders
- An understanding of or interest in Human Resources processes
- Ability to communicate effectively with individuals at all levels
- Excellent attention to detail
- Self-motivated, with the proven ability to work as part of a team
- Excellent time management skills, with a strong ability to prioritise and act quickly to meet deadlines
- Proactive, enthusiastic and professional
- IT skills to include Word, Excel and PowerPoint
