**Job description**:
We are looking for a change agent and problem solver who can work closely with the COO as their trusted adviser. You will be responsible for leading on key cross-cutting project work and ensuring where to focus energy and how to best communicate key messages. You will be able to understand complex and sometimes conflicting information, distil, and present this to the COO quickly, to inform decision making and also own and take delegated decisions on behalf of the COO as appropriate.
A key part of this role is to lead the COO's Private office, ensuring the COO and wider Senior Leadership Team is effectively supported. The jobholder will ensure capability and capacity is built within the team, continually improving service delivery for the COO. You will also commission private offices within Corporate Services and across BEIS.
In this role you will work closely with the offices of the Permanent Secretary, other DGs and Corporate Services SLT, to drive forward the COO's agenda, in turn ensuring BEIS is able to meet its priorities. There will also be regular interactions with Ministerial Offices both within BEIS and wider.
The COO office team is structured with the Chief of Staff (G6), Deputy Chief of Staff (G7), a Group Corporate Business Manager (SEO) and Private Secretary (HEO). You will shape and set the Office's priorities to meet demands and flex where required to enable the COO to meet objectives.
**Person specification**:
- Preparing products to define the service offered to the department by Corporate Services group and supporting the COO to calibrate this offer to the funding and resource available to the group so that our people have a balanced and sustainable workload.
- Supporting the Chief Operating Officer to put the Corporate Services group onto a portfolio footing; whereby all of our directorates work towards shared strategic objectives.
- Proactively identifying new and emerging issues in the group that cut-across multiple directorates and then bringing together senior leaders from across our functions to deliver a holistic solution.
- Working in partnership with the BEIS Governance team to plan and deliver a forward plan of items for the consideration of senior boards and committees, in particular BEIS’ Executive Committee and People and Operations Committee. You will play a key role in defining the issues which items should address, and support colleagues to frame options and present solutions so that our committees have rich and constructive conversations about corporate issues.
- Accurately establishing, interpreting and representing the COOs views in discussions, correspondence and at meetings with the ability to influence senior stakeholders to ensure strategic alignment with the COOs priorities/narrative.
- Defining and regularly improving the service that team members in the DG Office offer to the COO. You will be confident working coaching team members to deliver a high-quality private office service, tailored to the needs of the incumbent COO.
