**Position Summary**:
The Chief of Staff supports the Chief Executive Officer (CEO) of Duke CE through the management of key responsibilities related to leading strategic planning processes within the organization. The Chief of Staff ensures that all administrative, financial, and operational aspects of the CEO role is planned and executed effectively. The Chief of Staff is a trusted advisor to the CEO who relays relevant information and issues identified and provides recommendations to resolve. The Chief of Staff seeks to identify areas of organizational improvement and leads required change interventions to improve organizational effectiveness.
**Essential Duties and Responsibilities**:
**Strategy Implementation Project Management**
- Overseeing strategic business initiatives from ideation to implementation
- Identify and help solve core problems and opportunities within business processes
- Manage the implementation of strategic projects
- Assessing risk when business decisions are made
- Provide support and oversight for special projects and initiatives
**Financial Management and Reporting**
- Compiling weekly, monthly and annual budget and financial analysis and reporting as required by the CEO
- Support the budget planning and monitoring processes
- Providing the CEO and leadership with insight and analysis on Duke CE operations
**Meetings**
- Attends meetings on behalf of the CEO and reports key outcomes to the CEO
- Takes extensive notes and minutes of various meeting that the CEO chairs and/or attends
- Planning, coordinating, and keeping contents of meetings focused
- Planning, coordinating and leading meetings and workshops
- Prepare necessary documentation required for Board meetings including facilitating engagement with leadership for relevant content required for Board packs
**Communication**
- Prepare and design communication material on behalf of the CEO including written communication, speech scripts, journal article content and other related promotional material
- Gatekeeping and monitor the flow of communications to and from the office of the CEO
- Respond to inquiries on behalf of the CEO
**Organizational Effectiveness**
- Determine key performance indicators and how to measure team performance
- Working with leadership to deliver, monitor and communicate progress towards organizational goals
- Provide executive leaders with recommendations to improve teamwork across the organization
- Identifying and providing recommendations on improvements across the organization
- Provide tactical support to implement ideas
- Manage the CEOs schedule, including scheduling meetings and planning travel to ensure effective utilization of time
- Assist the executive team members to determine and prioritize business strategies based on their schedules

**Requirements**:
**Position Knowledge, Skills and Abilities Required**:
- Communication: Works regularly with team members of all levels and has exceptional written and verbal communication skills.
- Leadership: Acts as a leader, planning meetings and determining needs of the organization. The ability to lead in an effective and trustworthy way is essential.
- Time management: Responsible for improving the efficiency of the organization and managing the time of the CEO requires exceptional organizing, planning and prioritization skills.
- Problem-Solving: Ability to resolve conflict, both internally and externally to the organization. Ability to simplify complexity and conduct problem analysis.
**Education and Experience Requirements**:
- Bachelor’s degree required, preferably in business administration, finance, or economics
- Qualification as Chartered Accountant and/or post graduate qualification an advantage
- Project management experience
- Experience in managing and leading complex projects
- Extensive experience in administration management
- Minimum of 10 years relevant work experience
