This vacancy sits within our Chief Digital Information Office (CDIO).
With approximately 5000 people, CDIO provide key support for HMRC’s IT function and combines two entities (both civil servants and a government company), contractors and third-party suppliers.
You will be part of the Operational Delivery Profession, the public face of the Civil Service, covering half of the workforce.
The knowledge and skills you build through the profession will help you to progress your career within HMRC and across government.
**Job description**:
We have an exciting opportunity to join the CDIO Finance Deputy Directors (2 Posts) working as their Personal Assistant and working as part of the Finance Private Office Team and Private Secretariat Community.
The role of Private Office Co-ordinator offers a fantastic opportunity to support and influence the team and wider CDIO Private Office Community.
This is a demanding, varied role, and requires someone who is flexible, proactive, and responsive.
There will be opportunities to become involved in some work beyond the core responsibilities of the role.
As Private Office Co-ordinator, you will provide the following:
- Proactive and reactive diary and inbox management, responding to requests, escalating issues, prioritising work, cascading information, and tracking deadlines.
- Identifying and monitoring actions, ensuring updates are sought and documented prior to meetings or as required.
- Making best use of technology to produce high quality outputs on behalf of the Directorate and their leadership team.
- Using innovative ways of working to support the priorities of the Directorate, SMT and the wider team.
- Management of some sensitive records, such as staff and workforce.
- Drive the communications and marketing strategy, promoting the role and purpose of the Team.
- Provision of cover for the Director’s Private Office in the absence of the Private Office Manager, working as part of the wider team.
- Deputy Secretariat support, planning, organising, minute taking and escalating actions.
- Consider improvements to existing and development of new systems to ensure an effective and productive Private Office.
**Person specification**:
**Essential Criteria**
- Previous Private Office or Personal Assistant experience.
- Stakeholder engagement skills.
- Ability to prioritise and reprioritise work, using sound judgement to understand risk and impact.
- Strong organisational skills and the ability to multi-task and respond innovatively to changes.
- Excellent analytical skills, sound judgement and the ability to offer innovative solutions.
- Ability to work with discretion and confidentiality.

Team members that are moving offices as a result of the Locations Programme will be entitled to a Moves Adjustment Payment for three years where they incur additional costs. This is calculated based on the difference between the costs of travelling to and from the new and old office, over a weekly period.
