Roster Administrator

We are looking for a Roster Administrator to join our team at Cygnet.
Cygnet was established in 1988. Since then we have developed a wide range of health and social care services for young people and adults with mental health needs, acquired brain injuries, eating disorders, autism and learning disabilities within the UK.
The Roster Administrator will be home based but will be required to frequently travel to sites in the East of England (e.g. Stevenage & Colchester). Cygnet is currently rolling out Allocate Optima (FKA Healthroster), an e-Rostering solution, which will require Roster Administrators to be responsible for the following tasks (over next 24 months):
- Deliver training to local end users, i.e. new managers of implemented services
- Maintenance of the staffing within each roster, i.e. starters, leavers, contract changes, etc.
- Maintenance of unit information, i.e. budget, WTE, shifts and demand, etc.
- Provide ad hoc support and guidance to local end users
Once the project has been completed and handed over to BAU (Business As Usual) the Roster Administrator will then:
- Provide support to local rostering teams by ensuring that appropriate administrative duties are completed on a daily and weekly basis,
- Provide first line support to system end users (staff) which will include resolving queries and basics teaching,
- Manage the local roster teams inbox(s) and other administrative functions to support the team,
- And provide operational and administrative support to all centralized staffing functions across all staff groups.
**BAU General Responsibilities**:
- Assist the Rostering Manager(s) generally with the day to day running of the new Allocate Optima (FKA Healthroster) e-Roster systems and processes
- Maintain operational staffing functions associated with Allocate Optima (FKA Healthroster) e-Roster and all associated systems and processes
- Plan and deliver training to local end users
- Maintenance of the staffing within each roster, i.e. starters, leavers, contract changes, etc.
- Maintenance of unit information, i.e. budget, WTE, shifts and demand, etc.
- Provide ad hoc first line support and guidance to local end users
**Specific Responsibilities**:
- To undertake appropriate training so as to have a good working knowledge of Allocate Optima (FKA Healthroster) and to be prepared to continue learning as the system develops
- Be the organisation’s Subject Matter Expert and Champion for Allocate Optima (FKA Healthroster), driving adoption of rostering best practice principles by all stakeholders across the organisation
- To accurately process new starter, change of circumstance and leavers forms to ensure that timely accurate data is available to users whilst maintaining staff confidentiality at all times
- To provide clear and accurate first line technical advice and support to users, referring to the Rostering Manager(s) when unable to resolve
- To liaise with the HR Staff Records Administrator and/or Finance Lead in relation to matters affecting staffing numbers and the funded establishment
- Develop, plan and provide training sessions as well as the training materials required to ensure effective utilisation of the system across clinical wards and departments
- Collate the training requirements of clinical wards and departments
- Promote the Allocate Optima (FKA Healthroster) e-Roster rollout project positively within the Trust and utilise available communications expertise where beneficial
- To be responsible for providing “Loop” app and Employee Online accounts, communicating usernames and passwords to users and resolving access issues
- To maintain a number of reporting documents from the information in Allocate Optima (FKA Healthroster) as specified by the Health Board.
- Administration tasks for the Allocate Optima (FKA Healthroster) e-Roster Rollout Project Team.
- Assist with keeping the Allocate Optima (FKA Healthroster) e-Roster rollout project on task to ensure it is delivered to the desired standard and in a timely manner.
- Maintaining and capturing data for the Allocate Optima (FKA Healthroster) e-Roster project documentation.
- Receive training from Allocate Optima (FKA Healthroster)
- Assist in stakeholder engagement initiatives.
- Support with the Information Governance projects.
- To assist in the development of documentation, to include, protocols, procedural manuals, posters and leaflets and other communication materials.
- Provide general support to the Allocate Optima (FKA Healthroster) e-Roster Rollout Project Team & Data Quality Team.
