**Brief Description of job**:
The Receptionist will provide a high quality customer centred service with an efficient, positive and helpful approach. This key ‘front of house’ role will support the School with a number of reception and administrative functions. The post requires both efficient and well developed personal skills.
**JOB DESCRIPTION**:
**Key result areas**:
Customer Service
To provide a professional, pleasant and welcoming reception to all School visitors and telephone callers
Ensuring the Health and Safety of Reception and the welfare of visitors, ensuring that visitors remain comfortable and kept informed during their wait in Reception
Managing/answering calls promptly and effectively and transferring them appropriately
Recording messages fully and accurately, ensuring that they are delivered promptly
Ability to deal with sensitive issues whilst maintaining confidentiality
Managing the signing in / out systems to ensure compliance with Health and Safety policies
To support on open days and parents evenings - greeting visitors and providing information and advice
To assist with the provision of refreshments for meetings / reviews / visitors as required
Ensuring sufficient stationery supplies for the smooth running of the School
An ability to work flexibly as required by the Management Team
Administration
Accurate duplicating or scanning of documents, as required
Preparation of post and outgoing correspondence
Opening and communicating post received and ensuring that this is signposted to the appropriate staff / team
Accurate preparation of letters, correspondence etc for the Management Team
Ordering supplies as requested by staff and authorised by management
Managing the school vehicle bookings and service checks with the fleet company
Team Player
Administration Team and is expected to work effectively and professionally in providing excellent customer service to the students, staff and visitors to the School.
Ability to demonstrate commitment and reliability to the team and School through good attendance and time keeping
Takes responsibility for own performance and development, honestly assessing themselves and where they need to improve
Is committed to improving the team’s performance through contributing good ideas and solutions and supporting colleagues to succeed
Actively engages with feedback, support and coaching given on own performance
Develops positive working relationships within the team and with all other stakeholders
An ability to work flexibly to support the team
To carry out, as and when required, any additional duties and responsibilities as are reasonably compatible with this job description and deemed appropriate by your employer in the interests of the company, including supporting at other Cambian sites other than your main place of work
PERSON SPECIFICATION
Knowledge
Knowledge of what constitutes ‘excellent customer service skills’
Knowledge of how to deal with difficult situations professionally
Skills and Abilities
Ability to attend work punctually and reliably
Ability to communicate effectively, verbally and in writing with a wide range of people
Ability to present a professional, customer centred approach
Be proficient in Microsoft Office - Outlook, Excel, Word etc
