The post holder will be Responsible for delivering day to day high quality comprehensive administrative support for the provision of the Specialist Behaviour Team to all areas across the Health Board footprint. To demonstrate confidentiality and discretion in all dealings with both staff, service users with a Learning disability, carers, other professionals and external sources alike.

Working independently to clearly defined occupational polices, the post holder will work with the Team Manager, Clinical Lead and other Team members to perform a range of duties including the booking of appointments, minute taking and report writing, collecting
and summarising data and ensuring information is continually updated. Supporting systems and processes relevant to the functioning of the team e.g. E-roster, Annual Leave, PADR and
Training monitoring.

Swansea Bay University Health Board (formerly ABMU) was created on 1 April 2019, after responsibility for providing healthcare services in the Bridgend County Borough Council area passed from ABMU to the new Cwm Taf Morgannwg University Health Board.

Swansea Bay UHB covers a population of around 390,000 in the Neath Port Talbot and Swansea areas and we have a budget of around £1bn. The Health Board employs approximately 12,500 staff. It has three major hospitals providing a range of services: Morriston and Singleton in Swansea, and Neath Port Talbot Hospital in Baglan, Port Talbot.

We also have a community hospital and primary care resource centres providing clinical services outside the main hospitals. Mental health and learning disabilities services are provided both in hospital and community settings. Morriston also delivers one of two cardiac surgery services in Wales.

The Health Board is part of A Regional Collaboration for Health (ARCH), which is a partnership with Hywel Dda University Health Board and Swansea University. ARCH is a unique collaboration project aimed at improving the wellbeing and wealth of South West Wales.

Key Tasks and Responsibilities of the Post
- Reception duties including greeting individuals attending for meetings and appointments with the team.
- Handling and typing of highly sensitive information in respect of meeting minutes and reports, ensuring confidentiality is maintained at all times.
- Undertake general filing. To maintain team filing systems both paper and electronic. To support the archive systems for service user files. Request and transfer of files between sites as required.
- Inputting data onto team caseload database and ensuring this is up to date & pulling off data for senior team members as required
- Booking, rescheduling of appointments and maintaining diaries for team members.
- Retrieving files/paperwork and file information for team members
- Photocopying and collation of service user notes and information sheets ensuring confidential information is stored as requirements under GDPR rules
- Making and receiving telephone calls to ensure prompt and speedy receipt of information required. In addition, have the ability to act in a confident manner when taking calls of a sensitive nature
- Dealing with day to day enquiries of a sensitive and confidential nature.
- Sorting and distributing mail ensuring accurate data is entered on to mail log and the Cohort system and where appropriate forward invoices/receipts for payment and

safe storage
- Producing letters, Minutes, reports and correspondence with regard to the work ofthe team
- Have the knowledge and ability to alert members of the team when information ofconcern is raised e.g. safeguarding concerns
- Reporting any accidents, defects, untoward occurrences or potential hazards.
- To manage own workload independently, seeking support when appropriate.
