**Job Summary**

The main purpose of the role is to coordinate the efficient utilisation of vacant accommodation to maximise housing opportunities and revenues. In achieving the aims of the role, the Coordinator will develop a schedule or works for each vacant property, provide a projected completion date, arrange contractors to undertake necessary works, source stock from suppliers and donations to dress rooms and liaise with Housing staff to keep them and prospective tenants up to date with progress. The Coordinator will be responsible for achieving a minimum 95% occupancy across the housing portfolio over a 12 month period.

**Key Responsibilities**:
The main duties of the role will require the post holder to:

- Develop a schedule of works for each vacant property, including health and safety compliance activities, and keep updated in Disk Station for all staff to access
- Raise and monitor all works orders via Maintain X
- Liaise with contractors to schedule works at vacant properties and update Maintain X
- Ensure that contractors are familiar with the risks associated with our residents and take appropriate health and safety precautions, including PPE
- Provide access to contractors, as necessary
- Physically review completed works and sign off for quality assurance purposes and the processing of invoice payments
- Obtain and upload to Disk Station relevant certification of works including EICR and Gas Safety
- Deliver value for money through price negotiation and through social media donation campaigns
- Liaise with contractors, where work has not been completed to a satisfactory standard, to remedy prior to approving for payment
- Act as a single point of contact for contractors and suppliers
- Sort donations and manage stock inventory
- Escalate to Heads of Service any unresolved issues in contractor performance
- Furnish and dress rooms according to company standards ready for occupation
- Liaise with revenues to track expenditure by property, service and cost code
- Liaise with Housing Support staff to update progress and schedule licence commencement
- Prepare letters for residents to make them aware of contractor attendance and noise disruption
- Undertake any other reasonable duties proportionate with the responsibilities of the role, as required.
- Identify appropriate learning opportunities for continuous professional development and attend all mandatory training identified with the role
**Person Specification**
- Three years or more administrative experience
- Previous experience of working in housing or property services, incl. property management
- Excellent customer service skills with three years or more dealing with customer queries and complaints
- Computer literate with experience in using Microsoft Office, including Word, Excel and Outlook.
- Experience of using property management software and apps
- Experience of having worked in a busy office environment
- Excellent written and oral communication skills
- Experience of planning, organising and managing own workload
- Ability to work to agreed deadlines and using initiative to get the job done
- Ability to work both independently and as part of a team
- Ability to communicate, liaise and negotiate with a diverse range of people
- Ability to solve problems by using common sense and practical approaches
- Ability to manage and co-ordinate a variety of tasks at one time
- Willingness to put into practice the aims and values of the Service
- Ability to travel
