**Job description**

Berry Systems is looking for two Project Administrators to work as part of the Contracts Department providing tested vehicle restraint systems alongside security, top deck and cladding projects. The core responsibility will be to work alongside the Quantity Surveyor and Contracts Managers to ensure successful delivery of the projects.
**Key responsibilities**:
- Assisting the Contracts Manager in day-to-day activities.
- Preparation and control of project quality management systems and documentation throughout projects.
- Setting up new sub-contractor accounts as required.
- Reviewing and updating the internal management system (IMS).
- Issuing documents and drawings to site teams.
- To support the Contracts Department with the smooth running of projects.
- To liaise with the entire project team, including the Construction Manager, Erection Manager, Project Manager, Site Manager, and suppliers/fabricators/galvanizers.
- To co-ordinate and issue documentation including material schedules, drawing issues, and O&M manuals.
- Co-ordinate and control all electronic drawings and other control documents, create and maintain project drawing register, both incoming and originated within in-house design office for Berry Systems’ projects.
- Implement Berry’s new computerised document management system.
- Create and print drawing issues where necessary.
- Assist in meeting duties, if required meet and greet visitors, take minutes and be hospitable.
- Office administration, including typing, filing, ordering stationery and collating documents.
- Arrange meetings and lunches where necessary.
- Cop-ordinate travel arrangements.
- Ensure procedures are maintained and improved on for the smooth running of the office.
- Liaise with other internal departments.
Systems and the opportunity to grow and develop to specialise their skills.
**Purpose of the role**:
**Assisting the Contracts Manager in day-to-day activities**
The role will involve working alongside the Contracts Manager in the successful delivery of projects. This will involve drafting Risk Assessments and Method Statements for review prior to issuing by the Contracts Manager, liaising with the Contract Manager on plant requirements for projects and issuing to the Commercial Department for pricing and ordering, maintaining records of on-site labour and plant communicating with clients, sub
- contractors and other members of the project team.
**Preparation and control of project quality management systems and documentation**
The role will involve the monitoring and implementation of the approved Quality Control plan, gaining of all as-built information throughout the project and production of O&M
Manual for presentation to the client upon the completion of a project, communication with all members of the Berry System team on any product feedback that may arise from site and also action and close out any customer complaints.
**Sub-contractor Accounts**
Carrying out due diligence checks on any new sub-contractors to enable the obtaining and raising of all correct paperwork for new accounts to be set up by the accounts department.
**Document control**
Assisting in the preparation and control of project quality documentation and coordinating with management for quality improvements. Another key part role of the role will be communicating effectively with a range of people including the workforce, clients, subcontractors and suppliers. The role will also involve assisting with all internal and external audit and ensuring the success of each audit accordingly. In order to achieve this, you will also be keeping up to date with all relevant Health & Safety and Environmental legislation and ensuring compliance whilst reviewing current standards, policies, records of quality reports, statistical reviews and relevant documentation.

- Assist others in the selection of materials and sub-contractors and propose alternative materials or methods.
- Proficient in Microsoft packages specifically Excel.
