Senior Professional Support, Risk

An experienced and highly motivated Senior Professional Support is required to work within Risk & Compliance Oversight (R&CO) Executive Director's Office to provide support to the Executive Director and the wider Division. Working as a team with the Executive Director, Private Secretary (PS), Executive Assistant (EA), Personal Assistant (PA) and the administrators across the Division, this is a key role in supporting the Executive Director and in ensuring that the divisional administration within R&CO is carried out to a high standard.
What does the role involve? What are the key responsibilities?- Providing day to day support and assistance to the R&CO Division, including action management, prioritising the Executive Directors daily review schedule, managing with the Executive Directors inbox, and resolving ad-hoc issues or queries on behalf of the Executive Director.- Working in partnership with the Private Secretary, Executive Assistant and Personal Assistant to ensure the effective administrative management of the RCO Director’s office including ensuring divisional documents are up to date and accurate and supporting as secretariat as required for divisional governance meetings.- Coordinating the Division administration activities including ensuring there is adequate PA and administrative cover within the Division and being a role model and key information contact point.- Building and maintaining effective relationships with other administrators and PAs within the division and across the wider organisation to ensure effective communications between Directors’ private offices across the FCA.- Providing support in wider divisional communications and events, including providing administrative oversight and organisation of R&CO events, meetings, and Divisional communications.- Excellent opportunity to work closely with an Exco Director within a high profile department of the FCA- Chance to engage with a diverse range of internal stakeholders on sensitive projects- This is a high impact role, and you will be able to make a difference to R&CO, especially considering size of the Division.
Skills/Experience Required
Minimum- Proven experience managing the diary of a Director / Head of Department or Senior Manager- Proven experience managing the inbox of a Director / Head of Department or Senior Manager- Excellent written communication
Essential- Flexibility to adapt & react to changing circumstances, reprioritising as necessary- Ability to work under pressure- Strong organisational, prioritisation & time management skills, with the ability to work in a structured way to a high standard against tight deadlines- Ability to operate proactively with limited guidance using own initiative- Ability to handle staff confidential & sensitive data with a high degree of discretion, maintaining confidentiality at all times- Ability to build good working relationships & networks across the division, the FCA in general and with external suppliers by gaining trust- High level of accuracy & attention to detail- Willingness to learn & proactively self-develop- Proven ability to work effectively as a team player but flexible enough to work on own initiative- Excellent computer skills including Word, Excel, PowerPoint & Outlook- Strong written & oral communication skills, in particular an ability to summarise key ‘need to know’ issues in a timely fashion. You work well under pressure, and use judgement to deal with competing priorities.- Possess the ability to engage professionally with a wide range of senior internal & external stakeholders regarding both general and confidential matters.- You are a strong communicator who takes initiative and proposes solutions.
Desirable- A good understanding of the FCA, the work we do, our structure and objectives.- Familiarity with the FCA’s operational policies, procedures & programmes and the capability to demonstrate the FCA’s Cultural Characteristics.- Flexible approach to working hours.
