Position Overview

Essential Job Functions
- Daily calendar, travel and administrative support for the Chief Development Officer, SVP Construction, VP Development Procurement, SVP New Site Development, VP Design/Engineering and others as assigned
- Periodic administrative support for Finance, Accounting, Human Resources, International Business Development departments more broadly, including:

- Domestic Travel & International Travel
- Schedules/Calendars
- Meeting organization and support logistics
- Expense report preparation
- Responsible for driving consistency between Executive Assistants (EAs), globally, and bringing new Executive Assistants at Vantage “up to speed” once hired, or acquired
- Schedule & drive a weekly Executive Assistant Meeting to share best practices, drive EA consistency and make sure that EAs & Executives are all in synch on topics that cross multiple executives
- Accountable for aiding with the procurement & distribution/delivery of Vantage “New-Hire Welcome” kits & business cards to new employees on their first day of employment; along with holiday gifts, swag for Marketing & Sales department as needed
- Accountable for providing Quarterly Excellence Award winners with their recognition packages
- Perform data entry in Yardi & SharePoint for Accounts Payable during peak times of business activity
- Generate draft customer invoices in Yardi
- Backup processing of new vendor registration, processing of NDAs and W-9s
- Manage document control and centralized filing system for Finance & Accounting departments
- Manage projects, requiring independent discretion and decision making, without close supervision, as our executives and department leaders are often traveling or in meetings and unable to provide daily direction
- Use discretion, judgement and knowledge of organization to facilitate executive & leadership activities

Job Requirements
- Associate’s Degree in Office Administration, similar field, or equivalent experience is required
- Bachelor's Degree in Office Administration, similar field, or equivalent experience is preferred
- 4+ years of experience in an administrative, organizational or other detail-oriented function
- 4+ years as an Office Manager
- 4+ years as an Executive Assistant
- Highly organized, energetic and a fast learner
- Excellent communication skills: written/grammar/spelling, verbal (formal and informal), listening and talking
- Experience with Microsoft tools, including the ability to schedule, track, report and follow-up using these tools
- Experience with Outlook calendaring is required
- Experience with SharePoint is a plus
- Travel required is expected to be less than 10% and on as as-needed basis, but may increase over time as the business needs evolve
