**About Fly Cup Enterprises**

Fly Cup Enterprises is a Scottish charity and social enterprise providing training and employment opportunities to adults with learning disabilities and difficulties in the catering and hospitality sector.

Based in Inverurie we have a 40 seat café, provide meeting room space with catering, as well as an outside catering service. Through this, we provide our trainees with opportunities in the Coffee Shop, bakery, kitchen, meeting rooms and office environment to build their social skills, confidence, self-esteem, independence and ultimately their employability.

As well as making amazing fine pieces, relationships are at the heart of what we do at Fly Cup, supporting everyone to be the best they can be.

**Job Purpose**

You will work to support the management team in the administration and organisation of our business. What that means on a day-to-day basis is that no two days are the same You will be organising room bookings, or counting petty cash, creating Instagram content and then be asked to superglue a Croc shoe that’s strap has broken - all are equally important at Fly Cup.

You need to be professional with being the first point of call for customers and be warm, kind and enable our trainees to be all they can be.

**RESPONSIBILITIES**

**Administration**
- Be the point of telephone contact for all calls coming into Fly Cup Enterprises.
- Liaise with internal and external customers regarding their catering requirements.
- Maintain the centralised bookings system for both internal and external catering requirements and be responsible for the correct and timely distribution of information to relevant teams
- Maintaining filing, including sensitive and confidential information
- Pro-actively ensure all orders are placed to meet hospitality requirements.
- Administration duties and record keeping for the day to day running of the catering operations as required including: ordering office stationary, minuting of meetings, maintenance of training records, H&S records and data base.
- Support the management of our buildings by maintaining logs of fire drills, safety checks, maintenance logs etc
- Build positive relationships with all trainees, parents/carers, volunteers & staff
- To attend any meetings, training and development workshops as required.

This post would also be responsible for supporting some of our trainees to undertake some of the tasks/ develop a small admin team

**Finance**
- Be responsible for petty cash on a day-to-day basis, working closely with our Accounts Coordinator, including cashing-up and banking of takings as well as maintaining petty cash records.
- Support the Accounts coordinator with invoicing and payments, including taking telephone payments
- Produce customer sales invoices and send to clients.

**Social Media & Marketing**:

- Be a keen storyteller who is able to engage a wide variety of audiences through digital and traditional media channels
- Develop, curate, and schedule engaging content across social media platforms (Instagram, TikTok, Facebook).
- Develop engaging content for Fly Cup’s website
- Plan and execute digital and print advertising campaigns.
- Producing high-quality promotional materials
- Capture on-brand photos and videos to showcase Fly Cup’s work.
- Engage with followers by responding to comments, messages, and reviews, enhancing community interaction.
- Monitor social media trends and analytics to optimise reach and engagement
- Assist in managing influencer partnerships and collaborations.
- Develop and implement marketing strategies to raise awareness of the charity’s services, events, and fundraising campaigns.

**Essential skills, experience and qualifications required**:

- Experience of administration in an office environment
- Experience in social media management, content creation, or digital marketing.
- Experience of working collaboratively through sharing skills and talents.
- Excellent communication and organizational skills.
- Proficiency in social media tools, analytics platforms, and basic photo/video editing apps.
- Competent in using Microsoft Office Applications i.e. Word, Excel, Outlook etc
- An eye for detail
