**Is this you?**
We are looking for an Executive PA to support the CEO to ensure that his/her time and effort is optimised in such a way as to enable them to achieve the strategic direction set by the Board of Directors. You will lead and develop the PA to the SLT as well as overseeing the Reception Function.
**As part of your role, you will**:
**CEO Diary management**
- Ensure no conflicting appointments
- Prioritise meeting time and duration
- Align meetings to ongoing communication and activity
- Determine urgency of meetings versus all other competing priorities
- Ensure that relevant materials are provided to CEO
- Respond to any ad hoc requests from CEO/Chairman and SLT
**Reception**
- Ensure the Reception duties are covered at all times including:
- Receiving and sending of post
- Ordering of stationary
- Ordering of catering for events
- Ordering tea and coffee supplies for the office
**Appreciate Group Board**
- Ensure the Board Meetings, Audit Committee Meetings, Remuneration Committee Meetings and Nomination Committee Meetings are scheduled for the year
- Create Board schedules in Board Effect for each meeting and collate the Board/Audit and Remuneration papers to be uploaded
- Write the minutes for the Board Meeting and maintain the appropriate action log
- Communicate with The Board where necessary e.g. Interviews, Audits
**SLT**
- For weekly SLT meetings: Prepare packs, write agendas and minute the meetings and maintain the appropriate action log
- Approve all holiday requests and maintain sickness / attendance records for CEO and SLT
- Support the SLT when necessary in particular the CFO
**Logistics**
- Plan all CEO and Chairman travel and accommodation requirements and provide comprehensive itinerary
- Assist in the planning of:
- Strategy Days
- AGMs
- Board Meetings
**Communications**
- Ensure all Internal Employee Communications from the CEO are delivered in a timely and accurate manner
- Proof reading of documents when necessary
**Projects**
- Work in conjunction with the CEO on all appropriate project-based activities
**Charity**
- Respond to all Charity requests made to Appreciate Group
- Create run and Chair the Appreciate Group Charity Committee
- Work with Appreciate Groups chosen charity to ensure fundraising and volunteering targets are met
**Investors**
- Support CEO/CFO to ensure the relationship with Investors and associated logistics are optimised
- Ensure the Investors mailboxes are managed within a timely manner and CEO /CFO aware of any requests requiring a response
- Ensure the Investor Roadshows for the Interim and Prelim announcements are planned appropriately
- Work to obtain the best use of MHP, Liberum and Capital Access
**Leadership / Governance**
- Identify assess and inform the CEO of internal and external issues that affect the Company
- Ensure the reception team and the PA to SLT are managed in accordance to Appreciate Groups standards including timely completion of Steps to Success
**Financial Planning and Management**
- Administer and expedite authorisation by CEO of all expenditures within the authority delegated by the Board
**Team and Culture**

**Risk Management**

- You have experience in writing Board Minutes and Senior Management meeting minutes
- You have experience with the organisation of Board meetings and collation of Board Papers
- You have experience of dealing with Board personnel
- You have experience of dealing with Investor personnel
- You have people Management experience
- You have experience in dealing with charity organisations
