This unique role will require you to effectively manage the business scheduling and routing to ensure it meets or exceeds our customer-driven service SLAs.Ensure that a defined process is in place to enable the portfolio of works to be scheduled effective.Also, to maximise productivity and efficiencies while maintaining colleague engagement and so minimizing attrition.To strive for continual improvement in performance
**A day in the life of **our Workflow & Planning Manager will include.**:
- Taking responsibility for coordinating the service routes and effectively briefing and debriefing service operatives to enhance both delivery and customer service within the business
- Defining and documenting a model for priority planning which proactively manages variable workload against variable resource e.g., planning for installs and re-routing work due to sickness
- Ensuring that work is distributed in line with the plan, completed in accordance with the KPIs, and processed accurately within the agreed time frames
- Act as interface for the business to continually refine and update the planning model
- Working closely with Service Managers to ensure they appropriately brief and debrief their technicians on changes to routing and the reasons for those changes
- Report on site performance against plan. Understand how accurately work planning is being applied on a site-by-site basis and work with Senior Management and Service Managers to improve adherence
- Report on productivity by site, understanding best practice and sharing this across the business to drive performance. Use this information to drive change and action into the business
- Forecasting staffing needs in both short & long term, use this to support our resource planning and to guide recruitment
- Suggest the required level of FT/PT staff, minimum contract hours to align labour most efficiently with demand while maintaining the business’s ability to attract motivate and retain colleagues
- Managing agency demand to work alongside core team where appropriate and where approved
- Identifying and proposing improvements to the business regarding planning optimisation and broader work efficiencies or effectiveness.
- Previous experience of labour planning for a multi-site remote workforce, ideally combined with time spent in an operational role
- Previous experience of implementing and owning a labour planning model
- An in-depth awareness and understanding of labour planning industry best practise
- A background in using a variety of operating systems or software scheduling tools
- Well-developed analytical skills combined with the ability to influence and drive outcomes
- The ability to work in a in cross functional environment, managing requests from multiple stakeholders
- Excel to an advanced level, SQL knowledge is desirable
- Strong written and verbal communications skills and a proven ability to build relationships with people and get things done
- Experience of labour planning and forecasting in a similar sized company or horticultural industry is beneficial but is not a necessity
- You are a versatile and creative thinker who monitors service and delivery progress and is keen to resolve issues and present the best overall service to our customer
- A passion for delivering service excellence
- A willingness to gain an in-depth knowledge of our company products and services and of the legislation relevant to Greenleaf
- A High level of commitment and ability to work effectively under pressure
- Ability to communicate effectively at all levels, with individuals and groups, both orally and in writing
- The ability to challenge existing practices and put forward different methods of working to improve the division as a whole
- Customer Focus & Relationship Management skills
- A creative approach to problem solving.
