**Position**
**The role may include but not limited to;**
**Recruitment**:
- Support the recruitment process
- Set up interviews and issue relevant correspondence
- Including the destruction of CVs after a 12 month period.
- Maintain a database and track applicants.
- Produce and send progress and reject letters for the Training Contract process
- Liaise with the Marketing team to keep the job vacancy section of the website up to date; adding new roles and removing filled roles
- Respond to reference requests for previous employees; producing and sending standard references on behalf of the Firm.
**Remuneration and benefits**:
- Assist with growing the employee discount schemes available - setting-up, maintaining/updating staff discounts
- Monitor service years and arrange award for to mark employee retirements and long service.
- Keep employee benefits details updated on the HR system
- OpenHR Distribute Eye Care and Flu Vouchers, including purchasing more when need
- Learning & Development/professional qualifications:
- Set up and co-ordinate training programmes and conferences
- Liaising with trainers and participants to provide the necessary support and facilities. Send out joining instructions and feedback forms.
- Summarise feedback and prepare reports
- Maintain training records on OpenHR Create and administer feedback questionnaires via Survey Monkey.
- Assist with the scheduling of the Trainee Advanced Technology Academy programme. Organise and schedule annual Risk & Compliance workshops.
**Compliance**
- Provide administrative support for the annual Practising Certificate renewals
**HR database**
- Maintain the HR database
- OpenHR Update and log;, add discretionary holiday day, update fire warden and Health & Safety data, deal with general questions
- Add new joiners, add sick leave data
- Run and create reports
- Help to support users and to further develop the OpenHR system
**General**:
- Produce documents in house style; memos, letters, file notes, reports, contract docs, confirmation of probation, job terms change letters, schedules and tables
- Scanning, photocopying and filing
- Collate information for the ‘Monthly Brief’ firm wide communication update
- Produce regular staff movement’s reports and post copies on the intranet
- Maintain office supplies and order stationery and re prints of brochures and ‘give-aways’ for careers fairs
- Take and transcribe meeting notes and minutes from time to time
- Answer telephone calls to the HR team, take and pass on messages.
- Communicate with other employees and external contacts to deal with queries : Provide administrative support for the annual
- Practising Certificate renewals
**Desired skills**
- A Levels or equivalent
- 4-9 grades English and maths GCSE's
- Excellent organisational skills with a proven ability to multi-task, prioritise and work to short and changing deadlines
- Ability to verbally communicate and write clearly with a focus on attention to detail
- Excellent IT skills Microsoft Word, Outlook, Powerpoint, Excel and database skills
- Professional manner and appearance

**Training to be provided**

**You will complete the Level 3 Business Administrator Apprenticeship Standard.**
- This Apprenticeship will involve off the job training.
- You will also develop your knowledge, skills and behaviours.
- You need to have an employer to support your Apprenticeship and be employed in a relevant job role.
- The typical length of this Apprenticeship course is 18 months.
- This course has multiple start dates throughout the year
