We are currently seeking an experienced Senior Administrator to join Dynamic Health working within our Administration team

We are looking for polite, positive and enthusiastic people to provide administrative support for the unit. They should have the ability to take direction, prioritise work and multi-task and are keen to work as active team members within our unit.

You must be reliable, self-motivated and have a positive attitude and a commitment to team working. It is essential that you are efficient, flexible, adaptable and able to demonstrate a tactful and diplomatic approach.

The role will require you toprovide an office administrative support service to the MSK Physiotherapy Service and MSK Specialist Service. You will need to be able to have the initiative to handle/prioritise own workload.

1. Ensuring GP referrals are added to the appropriate waiting lists and appointments are booked into the appropriate services via SystmOne.

2. Maintaining and overseeing SystmOne tasks lists on behalf of the MSK Service and liaising with GP’s or admin staff within the GP practices as appropriate.

3. To be competent in the use of the Electronic Referral Service (eRS) and SystmOne to include the booking of appointments and the attachment and retrieval of appropriate clinical letters.

4. To manage and maintain patient information as required by SystmOne.

5. Create and maintain staff rotas on SystmOne, responsible for recording annual leave, changes to work patterns. Assist in the cancelling and rescheduling of clinic appointments in line with clinicians request for annual leave and sickness.

6. To undertake typing, audio typing and word processing duties as appropriate. Accuracy and confidentiality is vital at all times and a good knowledge of clinical terminology is desirable.

7. To input data of patient questionnaires, complete data cleansing reports and 18 week reports.

8. To attend and take minutes at meetings if requested to do so.

9. To ensure scanning of documents and photocopying is carried out as needed.

10. To answer telephone enquiries in a courteous and professional manner, ensuring all messages and information is communicated to the appropriate person or records. This will require the post holder to make an independent judgement as to whether the message needs to be dealt with by a qualified practitioner. Judgement will also be required to ascertain whether the message warrants urgent action.

11. The post holder may be the first point of contact for patient complaints and as such must be familiar with the Complaints Policy. The post holder will be expected to deal appropriately with these situations which may involve emotional and distressed patients.

12. To provide reception support for the Physiotherapy department as and when needed. This includes; liaising with patients, parents or guardians to arrange appointments, registeringpatients, obtaining diagnostic results and ensuring patients are booked in a timely manner and within the 18-week protocols.

13. To be proactive in developing office procedures reviewing the efficiency of the administrative systems and implementing new practices following consultation with the therapists.
