We are looking for someone who is motivated, enthusiastic and possesses excellent interpersonal and communication skills to work effectively in providing senior administrative support to Kobler HIV OPD and John Hunter Clinic for sexual health departments in St Stephen’s Centre (SSC)
You will be a key part of a multidisciplinary team working across an innovative HIV and sexual health service.
You will contribute to the development of the HIV/GUM services in SSC including supporting quality initiatives.
Working flexibly the post holder will ensure that they are able to provide a patient focused service at all times.

The role is key in ensuring that a high level or senior administrative support is provided to the HIV and GUM department in St Stephen’s Centre (SSC).
The post holder will undertake administrative work for a defined team of Clinicians in Kobler HIV OPD and John Hunter Clinic which will include transcription and electronic sending of letters where necessary to patients, GP’s or other professionals.

- To work with SSC Support Services Manager to provide high quality, effective senior administrative support to both services.
- To receive all patients and visitors into the department in a professional, polite and friendly manner.
- To create and update GUM and HIV clinic records accordingly regarding appointments as well as changes to demographic or contact information where necessary. Clinical systems include (but are not limited to) Cerner, Lilie and DrDoctor.
- Ensure turnaround of letters and reports as per departmental KPI’s
- Ensure relevant standards for confidentiality and information governance are applied at all times.
- To utilise and manage the patient appointment reminder systems in Lilie and on Cerner which may include working on the phone lines or in a patient facing reception role at times.
- Undertake other administration and reception duties at the discretion of the Support services manager and SSC clinical leads.
- Contribute to the development of the HIV/GUM service in SSC e.g. being involved in multi-disciplinary audit work and supporting data collection, coding and quality initiatives.
- To support the ongoing development of Klick, a web-based app which will enable people living with HIV to communicate more efficiently with clinicians and administrators. The Pathway Coordinator will review data received via Klick and action accordingly including booking appointments on Cerner and redirecting queries to appropriate clinicians.
- To ensure that all aspects of patient facing appointment services are timely, effective, responsive and patient focused
- To support facilitation of department meetings including sending invites, facilitating video consultations and taking and distributing meeting minutes.
- To ensure all post for staff in John Hunter and Kobler clinics is appropriately distributed.
- To support departmental and Trust initiatives such as Friends and Family.
