**Job Purpose**
**Key Responsibilities**:
**Procurement Strategy**:
Develop and implement procurement strategies for sourcing subcontractors specialising in building maintenance (e.g., HVAC, electrical, plumbing, fire safety, lifts, laundry, catering, Legionella & general maintenance)
Specialising in Healthcare settings across our client portfolios
Conduct market research to identify and pre-qualify suitable subcontractors.
**Tendering and Contract Management**:
Manage the tendering process, including drafting PQQs and service contracts
Evaluate bids and negotiate contracts with subcontractors to achieve the best value
Ensure all contracts include service level agreements (SLAs), key performance indicators (KPIs), and compliance with legal and regulatory requirements.
**Supplier Relationship Management**:
Build and maintain strong relationships with subcontractors to ensure service quality and reliability.
Conduct regular performance reviews and monitor subcontractors' adherence to SLAs and KPIs.
**Compliance and Risk Management**:
Ensure all subcontractors meet statutory, regulatory, and health and safety requirements, including certifications, insurance, and risk assessments.
Manage risks associated with subcontractor performance and address non-compliance issues proactively.
**Cost Management**:
Monitor and control costs associated with subcontracted services to meet budgetary requirements.
Identify opportunities for cost savings without compromising quality or compliance.
**Data Analysis and Reporting**:
Maintain accurate records of subcontractor contracts, pricing, and performance data.
Provide regular reports on subcontractor performance, cost analysis, and procurement activities.
**Collaboration**:
Work closely with facilities management teams, operations, and finance departments to understand business needs and align procurement activities with organisational goals.
Support project teams by ensuring timely procurement of subcontractors for planned and reactive maintenance.
**Key Skills and Competencies**:
- Strong understanding of building maintenance services and subcontractor markets.
- Excellent negotiation and contract management skills.
- Ability to analyse and evaluate supplier performance against KPIs and SLAs.
- Strong knowledge of procurement regulations, compliance, and best practices.
- Excellent communication and relationship management skills.
- Proficiency in procurement software and Microsoft Office Suite.
- Excellent presentation skills to senior teams
- Analytical mindset with a focus on cost control and value delivery.
**Qualifications and Experience**:
- Proven experience in procurement, specifically in building maintenance subcontracting.
- Relevant professional qualifications, such as CIPS (Chartered Institute of Procurement & Supply), are desirable.
- Knowledge of relevant building maintenance regulations and standards (e.g., UK health and safety requirements).
- Experience in supplier tendering, contract negotiation, and performance management.
