**Conference and Events Administrator**

**Salary: **£22,192 to £23,672 dependant on hours (Full time equivalent £27,000)

**Location: **Cambridge, St Edmunds College

**Contract type**: Permanent, Part time (30 to 32 hours, Monday to Friday 9am to 4pm)

If so the role of Conference & Events Administrator at St Edmund’s College allows you to work in a supportive, friendly organisation whilst learning great new skills and embracing exciting challenges.

Job responsibilities
- Support the Conference & Events Manager in the sales, marketing, co-ordination and delivery operation for both internal and external events including summer schools.
- Provide administrative support for event management for all events (including external catering events). Ensuring the service is operated within legislation and College Policy.
- Maintain accurate and up to date records of event and room bookings in the room booking systems including being a point of contact for ‘event rooms’
- Collect and record costs and income to support budget keeping and preparation of invoices i.e. financial management
- Liaise and coordinate all events with the Catering Manager, Facilities and Accommodation Manager, IT Manager and Head Porter as directed by the Conference & Events Manager.
- Support the Steward and Fellow Stewards in coordination of formal dining events through the Dinner Booking System
- Work with colleagues to share best practise and ensure policies are adhered to
- Ensure the upkeep of the College, report any problems as necessary and help to keep the College litter free.
- Suggest and implement new ways of working and ideas, be an advocate for Continuous Improvement.
- Adhere to Health and Safety policies and procedures
- Complete ad hoc tasks as required

**Experience**
- Previous experience in a similar role
- An understanding of and experience in delivering good customer service
- Previous administration and coordination experience in a complex environment - desirable.
- Previous experience of referring to and complying with legislation and regulation - desirable.

**Skills**
- Able to build and maintain good stakeholder relationships through a trust-based approach
- Thrives in deadline and time pressure environment
- Positive and proactive approach to engagement with customers ensuring excellent customer satisfaction
- A good communicator, with appropriate diplomatic and political skills.
- Computer literate with the experience of using in-house systems
- Excellent attention to detail and accuracy
- Flexible, with the ability to quickly & efficiently problem solve and implement changes (e.g. to conference plans), sometimes in a pressurised environment.
- Excellent organisational and time management skills
- Looks for ways to continuously improve processes and procedures and be able to articulate these to others clearly
- Experience in using a range of Audio-Visual equipment for event setup - desirable.
