We are currently recruiting for a passionate Preschool Administrator to join our wonderful Sherwood Preschool.

**The setting**

The preschool is situated within the grounds of Howard Primary School (Nottingham Road entrance) and has been established at this location since 2004. Our friendly and experienced staff work hard to meet the needs of each child, encouraging individuality within a safe and stimulating environment. We pride ourselves on providing an environment for the children which is like a “home from home”.

Sherwood Preschool is run by a manager and her management team. As the pre-school is a charity, its work is overseen by a group of trustees who are responsible for ensuring that the pre-school is run efficiently, cost-effectively and to the highest possible standard. The charity’s focus is on local children and so we encourage all our parents and carers to be as actively involved in supporting the pre-school as possible.

**Responsibilities**

As a Preschool Administrator working with us, you can expect a competitive salary, excellent training and development as well as a caring and passionate place to work.

The role will be a hybrid role, with the holder expected in the setting regularly during term time, but being expected to work from home when required by the pre-school.

Responsible for:

- Lead development and implementation of parent outreach initiatives to increase utilisation, registrations, and memberships in the nursery to meet occupancy budgets.
- Proactively support the manager when offering new nursery places, selling extra sessions and managing changes in booking patterns
- Adhere to organisational policies and procedures inclusive of the COR process.
- Ensure booking and charging system is up to date. Check accounts are allocated and charged correctly, leave dates are input within the required notice period, correct discounts and correspond with parent payments.
- Make effective and efficient use of systems and contribute suggestions and ideas on how to improve system performance.
- Monitor the accounts to ensure parents have paid their fees on time. Contact Parents on behalf of the Manager to chase for payments if late.
- Provide any parents with support completing any relevant Nursery forms - and ensure the relevant party receives these promptly.
- Liaise with the Manager and suppliers to ensure all relevant resources (e.g. food) are stocked up.
- Manage our social media presence and liaise with external stakeholders to ensure our website remains updated
- Draft correspondence to parents on behalf of the Manager.
- Create and manage a clear record keeping system for a variety of different documents and forms.
- Monitor the record keeping system to ensure that information remains up-to-date (e.g. annual staff training, DBS checks etc). If training needs to be refreshed, work with the manager to arrange this.
- Responsible for the collection of monthly invoice debt, inclusive of suspension of nursery places, payment plans and legal referrals, in collaboration with the nursery manager.
- Undertake/carry out/complete control and administrator tasks relating to funding and headcount, working in partnership with our management team.
- Support the Nursery manager with any additional client administrative tasks, including writing monthly and quarterly client reports.
- Attend and contribute to training sessions.
- Provide administrative support to the Trustees - including minuting their meetings (four each half term in the evenings)
- Support the Manager with the preparation of papers for Trustee Committee Meetings.
- Any other duties that may be required by the Manager.

**Experience**

Essential Experience:

- Significant experience in a customer service setting. Demonstrable experience in delivering outstanding customer service, both internally and externally, in person, in writing and over the phone.
- Demonstrable track record of resolving issues for customers.
- Ability to make independent decisions based on information and data.
- Should be able prioritise and work in a fast-paced environment.
- Exceptional organisational skills.
- Maintain confidentiality in accordance with GDPR.
- Evidence of working with data, or other information, with accuracy.

Experience Desirable:

- Previous experience of working in an Early Years administrative role, or experience in an administrative role and familiarity with Early Years settings
- First Aid qualification.

- Level 2 qualification in Business Administration.

- Strong computer skills to manage daily responsibilities - Word, Excel, PowerPoint, Data Entry
- Excellent communication and customer service skills.
- Excellent attention to detail, with an organised and systemic approach to work.
- Proactive and able to work well as part of a small team.
