Office Administrator

Xtracare Ltd are looking for an experienced administrator to join our team.
**Key Responsibilities**
- Maintaining staff holiday and sickness records
- General admin duties, including filing and archive storage-managing the archived files in rotation
- Updating daily care records and notes onto computer system
- Monitor all carers daily call times and reports and liaise with your manager of any concerns raised form the reports
- Keeping staff personnel files updated and accurate including training files keeping client files updated and accurate
- Liaising with our carers, office colleagues as well as professional bodies such as Social Services, GP’s, District Nurses for best outcomes of our clients.
- Purchasing office supplies including stationery and carer equipment/uniform.
- Keeping client files updated and accurate/ completion of regular audit of all carer personnel files
- Ensuring all information is in line with GDPR requirements and regulations
- Managing essential dates including staff and client’s birthdays etc. and ensure provision of related cards be sent.
- Ensuring the completion and sending of a monthly staff memo to all carer colleagues, which requires liaising with office colleagues for relevant input and decision of our carer of the month
**Essential**
- Strong IT skills including Microsoft Word, Excel and Outlook
- Previous office administration experience
- Excellent written and spoken communication skills
- Have compassion and empathy when dealing with our clients as well as high regard for confidentiality
- Having attention to detail
- Good time keeping
- Willingness to learn and take on new projects
- Excellent ability to prioritise daily tasks
**Desirable**
Understanding of the care sector
**Benefits**
Part Time, permanent position 9 a.m. - 3 p.m. Monday to Friday (lunch hour unpaid)
£16,000 per year paid fortnightly
20 days holiday plus bank holidays, increasing to 24 days after first year
