**Part-Time Personal Assistant and Administrator**

**Location: Sale M33**

**Salary: £23,500 - £25,000 pro rata**

**Contract Type: Part-time Permanent**

**Job Purpose**:
**Key Responsibilities**:
**Personal Assistant (PA) Duties**:

- **Diary and Schedule Management**: Organise and maintain senior management’s schedules, including arranging meetings, site visits, and appointments. Ensure all deadlines and priorities are met.
- **Meeting Coordination**: Assist with the planning and coordination of internal and external meetings. Prepare agendas, take minutes, and follow up on action points.
- **Document Preparation**: Assist with the preparation of technical reports, presentations, and other documents as required by senior staff.

**Administrator Duties**:

- **General Office Management**: Oversee daily office operations, ensuring supplies and equipment are maintained and ordering replacements when necessary. Greeting visitors.
- **Telephone duties**: Answer and respond to telephone enquiries.
- **Project Support**: Provide administrative support to the engineering team, including project documentation, filing, and maintaining project timelines and records.
- **Document Control**: Manage and maintain the company’s filing system, both physical and digital, ensuring that all project documents are up to date and accessible.
- **Database Management**: Update and maintain project databases, client information, and internal records.
- **Invoice Processing**: Assist with tracking and processing invoices, expenses, and purchase orders, working closely with the finance team to ensure timely payments and budgeting.
- **Health and Safety Compliance**: Assist in coordinating health and safety documentation and ensure compliance with site-specific and legal safety requirements.

**Social Media & Marketing Support**:

- **Social Media Management**: Assist with managing the company’s social media accounts (LinkedIn, Twitter, Instagram, etc.), ensuring regular and relevant content is posted to highlight ongoing projects, industry news, and company achievements.
- **Content Creation**: Collaborate with the marketing team (or external agencies) to help create and schedule content for social media channels, including posts, images, and videos showcasing projects, milestones, and company updates.
- **Engagement**: Monitor and respond to enquiries or comments on social media platforms, ensuring a professional and timely interaction with followers.
- **Analytics & Reporting**: Track social media performance through analytics, providing regular reports to management on engagement, growth, and content performance.
- **Marketing Support**: Assist with the creation and distribution of newsletters, blogs, or marketing materials that promote the business, key projects, or industry expertise.

**Key Skills and Qualifications**:

- Previous experience in a combined PA and administrative role, ideally within an engineering, construction, or technical environment.
- Strong organisational and time-management skills, with the ability to prioritise and handle multiple tasks simultaneously.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with clients, vendors, and team members.
- High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management or document control software.
- Familiarity with managing social media accounts, including creating and scheduling posts.
- Basic understanding of social media analytics and tools such as Hootsuite, Buffer, or native platform analytics.
- Experience in managing calendars, booking travel, and coordinating meetings for senior staff.
- Knowledge of invoice processing, purchasing procedures, and basic office finance operations.
- Ability to maintain confidentiality, especially when handling sensitive company and project information.
- Strong attention to detail and accuracy, especially when managing technical documentation.

**Desirable**:

- Previous experience in a structural engineering or construction-related company.
- Knowledge of health and safety regulations within construction and engineering environments.
- Experience in content creation and online engagement strategies.
