BioSS seeks a motivated individual to provide administrative support to our staff based in our offices at the University of Edinburgh. This job will be undertaken as a Modern Apprenticeship and so it is recognised that the post-holder will be undertaking appropriate in-house and external training and development. The primary purpose of the role is to provide administrative support to the BioSS Administrative Officer and the BioSS Research Operations Manager as well as BioSS staff in Edinburgh. This position provides a stimulating mix of office duties in a lean organization.

Main Purpose of Job

Administrative support to the BioSS Administrative Officer and the BioSS Research Operations Manager as well as BioSS staff in Edinburgh

Main duties of postholder

To undertake training both internally and externally and learn practical skills required to successfully gain the relevant Modern Apprenticeship in administration.

Support organisation of BioSS meetings and events including ordering catering, preparing ID badges and printing documentation;

the Research Operations Manager

the Director when in Edinburgh

the Training Coordinator for face-to-face courses - book venues, contact attendees, liaising with others to ensure that current software is installed on the machines, prepare training certificates for BioSS course attendees

the BioSS social media team by collating and passing on information on publications, events, activities etc.

Maintain and update the BioSS outputs database, including entering and checking details for refereed publications;
Update and maintain records and files - invoices, timesheets and others as required;
Enter staff time code data into the online financial system;
Carry out H&S checks and ensure that relevant H&S, First Aid and other related information is up to date and on display at the BioSS Edinburgh site;
Provide support to the AWARE committee - researching information relevant to maintenance of our Healthy Working Lives award, distribute this to staff in an efficient manner, and encouraging staff to take part in AWARE activities;
Order goods and services;
Maintain stationery supplies;
Reconcile credit card expenses;
Update noticeboards (at the Edinburgh office and on the BioSS Intranet);
Undertake general office duties including photocopying, processing mail, reception duties, data input, word processing, printing address labels, arranging for poster production.

Qualifications/Skills/Knowledge

Essential

Expected to have obtained or gain SVQ level2 Admin and English or seeking to obtain National 5 qualifications or equivalent

Expected to complete a Level 6 Scottish Vocational Qualification (SVQs) in Business and Administration via the Modern Apprenticeship degree on the job

Computer literate o Basic skills in Microsoft Excel and Word o Evidence of use of modern computer software

**Evidence of good written and verbal communication**: fluent and correct in English Organized and with good attention to details

Punctual and reliable

Demonstrable enthusiasm and initiative

Ability to work in a team and independently

Desirable

Relevant work experience in an administration and/or support office role

Excellent skills in Microsoft Excel and Word

Broad interest in science
