Apprentice Business Admin Medical Receptionist

The main purpose of the job is to provide reception and administrative support to the GP Practice to enable the medical and nursing staff to provide an effective, efficient, and caring service to the practice population.
The reception area at the surgery is currently open 8am - 6pm Monday to Friday each week and has a late surgery until 8pm on a Tuesday evening but could include evenings or Saturday openings hours in the future. The medical reception staff have various duties which include manning the reception desk, dealing with queries from both patients and outside agencies, diagnosis read coding and data base recall and screening.
37.5 hours per week
**Main Duties**
- Greet patients and book them into the computer system on arrival.
- Direct patients to waiting rooms.
- Notify patients when clinics are running late.
- Answer telephone & deal with all enquiries as they arise.
- Make appointments for the team.
- Make private appointments on behalf of patients.
- Deal with enquiries for Health Professionals and other agencies as requested in an efficient manner.
- Completion of forms as requested.
- Book & record all urgent ambulance bookings.
- Extract notes and patients' summaries from computer.
- Organise Doctor’s administration files.
- Deal with Repeat Prescriptions bringing to the attention of the Doctor/patient all reviews of medication.
- Register new patients following the practice protocol.
- Explain the NHS system & practice system to patients.
- To bring to the attention of the Practice Managers all complaints, comments and suggestions
- To report on any adverse/untoward incidents.
- To complete the accident book and record incidents when required.
- Dealing with emergency calls, telephoning for ambulances, taking requests for urgent house calls, and notifying the Doctor immediately.
- Attend to patients when an emergency arises in practice & notify Doctor/Nurse immediately.
- Prepare rooms in readiness for clinics.
- Liaise with patients regarding appointments, prescriptions etc
- Co-ordinate clinics: District Nurse/Mental Health worker/Baby Clinic/ and other clinics.
- Assist in the induction of a new member of staff/or student.
- To work early morning/late afternoon/evening rotas.
- Ensuring the out of hour’s message is correct prior to leaving the practice and the phones are turned over.
**Knowledge & Skills**
- Customer Service qualification or equivalent experience e.g., in reception or customer care role.
- Computer literate able to type and use a variety of office systems including word processing and spreadsheets.
- Ability to enter and extract relevant information from a practice clinical computer system e.g., EMIS.
- Fluency in spoken English.
- Good verbal communication skills and ability to explain Practice systems including for appointments, repeat
- Knowledge and experience of using appointment booking systems.
- Good written communication skills, able to record messages accurately, draft letters and reports.
- Numeracy skills, able to complete calculations accurately.
- Experience working in a General Practice or NHS
- Be able to work on own initiative and as part of a team.
- Understanding of confidentiality and Data Protection requirements.
- Able to use office equipment including photocopier
