Business Support Officer

Due to the current post holders going on maternity leave, the Regional Direct Commissioning Directorate are seeking two experienced Band 5 Business Support Officers to work within the Business Office function.
The Direct Commissioning Business Office provides a comprehensive business support function for the Direct Commissioning Senior Team.
These roles will support the business office function and are responsible for the provision of high-quality services to Directors and senior managers across the Directorate and the wider team
You should be a highly motivated, enthusiastic and flexible individual, with excellent organisational skills and comprehensive knowledge and experience of business management functions and systems.
Please note that the reason for the fixed term of your contract is Maternity Leave.
As Business Support Officer / Personal Assistant, the post holder will work as part of a dynamic team in delivering an effective service and providing a coordinated administrative and secretarial service to Directors, Senior Managers and the wider Commissioning team.
The post holders will provide a high level of service and administrative support including information and analysis, extensive diary management and arranging meetings. The post holders will also be required to communicate complex, sensitive information with a range of staff internally and externally across the organisation.
You will also be responsible for managing complex and sensitive business and communications on behalf of the Director, solving problems and responding to unexpected demands in the Director’s absence.
The role of Business Support Officer / Personal Assistant is a very busy and varied role and one which requires the post holder to have a flexible approach and a calm, professional manner. You will be required to work effectively under pressure, while still meeting deadlines.
You will be joining a friendly, welcoming and encouraging team as someone with significant previous experience in an administrative or business support role who works well with others, is positive, proactive, and helpful.
Please note that all posts are currently home based and resourced to complete their role virtually. Upon return to the office, the base will be a location within the regional geography and travel may be required across the region. This role covers the East of England and it is likely that the office base will be Victoria House in Fulbourn, Cambs, however this will be open to discussion as other offices bases are available across the region

- Providing effective diary management for Senior Managers and the team, ensuring that appointments are planned and coordinated, and run to schedule
- Organising and managing meetings and events as directed, including sending invitations, booking venues, making travel arrangements, arranging speakers, preparing and providing relevant papers and material, including preparation of agendas and minutes of meetings, tracking actions and timeframes as appropriate
- Assisting with the setting up and management of effective business processes to facilitate the smooth running of the business office, developing and implementing robust work processes and systems to ensure timely delivery against deadlines
- Handling significant quantities of confidential and sensitive information on behalf of the Senior Managers, always ensuring the appropriate degree of confidentially and discretion is adopted at all times
- Managing mailboxes, dealing with queries appropriately and in a timely manner, acting as a contact point for teams, dealing with and responding effectively to complex queries
