Project Manager
- Accountable to: Project team Leader
Job Purpose:
To manage all aspects of assigned projects ranging from small one-off orders or prototypes to major long term contracts and installations, to meet the expectations of the stakeholders and maintain the quality standards of the company.
Maintaining control for all aspects throughout the life of the project including site coordination, finance, planning, equipment sourcing and installation management.
Provide single point liaison and support to stakeholders.
Key Results Areas & Measures
1. Attend handover meetings and set up the projects, according to agreed standards and procedures to fulfil the agreed customer order.
- Handover document available in project folder
- Adherence to Project team 'Golden Rules’
2. Attend customer site meetings and site surveys to understand and effectively manage the project.
- Accurate drawings produced to company standards.
- All file notes available in project folder and follow up requirements clearly assigned.
- Attend meetings pre-prepared with information (where applicable).
3. Prepare comprehensive information/plans for all projects so that FAT’s run smoothly and the company engineers are able to install equipment quickly and effectively.
- Close liaison with Italian colleagues
- Signed off drawings available for use by engineers
- Security vetting and PPE requirements clear to all involved
- Barriers made clear to engineers (where applicable)
- Resource booked with TSD Admin as early as possible and constantly reviewed
- Briefing held with Lead Engineer to discuss site specifics
- Presence of GANTT charts using MS Project to allow visibility of project to all stake holders
4. Attend site installations as required to manage efficiency, quality, and customer satisfaction.
- Attendance onsite as required to achieve project objectives
- Smooth running of site works - feedback from Engineers, Contractors, and Managers
- Site teams managed effectively according to standard and schedules set
- Pre-snag of equipment with Engineering team leader to ensure effective completion of install works and project sign-off
- Site works run to schedule and to budget
5. Issue of monthly project update reports to the client in the agreed format to keep them informed of the current situation within their project.
- Monthly reports issued prior to end of each month
- Projects 'Live’ log maintained and accurate
6. Manage ll financial aspects of the project from start to finish, so that all information is available to both Finance and the Management team to assist in cash flow projections, invoicing, and accurate budgeting.
- Invoice schedules on protean, accurate and up to date
- Costing sheets updated to reflect project activities
- Invoices issued immediately upon completion of works
- Assist accounts in obtaining payments, where applicable
7. Promote the company’s products and services where opportunities arise within your project. On receipt of order/variation ensure normal order process is followed to increase the project order value.
- Costing sheets to reflect variations or additions
- Protean to be updated with sales admin to show variations
8. Manage risk reduction by obtaining official sign-off / approval of drawings, specification at all key stages of the Project.
- Presence of the following approved / signed off documents to minimise unnecessary cost to the company. - Technical specifications (where appropriate)
- Order Acknowledgements
- Delivery notes for equipment
- Installation completion acceptance
9. Conduct handover meetings at project closure, enabling efficient transfer for on-going support of equipment by TSD.
- Handover documentation compiled
- Service team able to quote for new contract or administer contract sold with order.
- Commissioning / SAT acceptance
- Snagging List
10. Participate as a member of the Projects team, in order to assist in the overall development of the department.
- Participate actively in fortnightly project team update meetings
- Feedback from peers and line management
- Put forward ideas and help develop standards that maintain department standards
