Are you passionate about helping others develop their careers through apprenticeships? Amazon is looking for a detail-oriented Apprenticeships Administrator to join our UK Apprentice Academy team. In this role, you'll be instrumental in supporting the successful delivery of apprenticeship programs, working directly with apprentices, skills coaches, and various stakeholders to ensure seamless program execution.
As an Apprenticeships Administrator, you will be the operational backbone of our apprenticeship programs, supporting the Head of Amazon UK Apprentice Academy. You'll manage end-to-end administrative processes, maintain crucial documentation, and serve as a key point of contact for apprentices and trainers. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities effectively.
Key job responsibilities
- Manage end-to-end administration of apprenticeship programs, from initial recruitment through to completion
- Maintain and update the Management Information System (MIS) with accurate apprentice data and progress information
- Coordinate End Point Assessment (EPA) preparation and management with EPAOs and trainers
- Handle communications with apprentices, line managers, and other stakeholders
- Support Skills Coaches in program delivery and issue resolution
- Monitor and track Off-the-Job training hours and overall apprentice progress
- Prepare and distribute regular reports on program metrics and attendance
- Manage Individual Learning Plans and conduct quality assurance checks
- Coordinate recruitment activities and initial assessments
- Support Information, Advice and Guidance (IAG) sessions and program launches
- Process Break in Learning requests and withdrawals
- Maintain curriculum documentation including lesson video uploads and learning materials onto the Learning Management System
A day in the life
Your typical day might include preparing documentation for upcoming EPA assessments, responding to apprentice queries, updating the MIS with progress review outcomes, coordinating with Skills Coaches on learner support needs, generating attendance reports, and participating in quality assurance activities. You'll regularly interact with apprentices, trainers, and line managers while ensuring all administrative aspects of the programs run smoothly.
About the team
You'll be joining the Amazon EU Apprenticeships team, a dynamic group dedicated to delivering high-quality apprenticeship programs across Europe. Working directly with the Head of the UK Apprentice Academy, you'll be part of a large apprenticeships team that's passionate about developing talent and creating career opportunities through apprenticeships. With over 12 years of experience delivering apprenticeships at Amazon, our team has a proven track record of providing development and upskilling opportunities for both our existing employees and future talent. BASIC QUALIFICATIONS
- Level 3 qualification or equivalent experience in a similar role
- Advanced proficiency in local language in both written and verbal communication
- Relevant experience working with data analytics and using these metrics to identify problems
- Relevant experience working with the MS Office suite (Word, Excel, Outlook) in a professional environment
PREFERRED QUALIFICATIONS
- Previous experience in apprenticeship administration or coordination
- Knowledge of UK apprenticeship standards and requirements
- Experience with Management Information Systems
- Understanding of ESFA funding rules and compliance requirements
- Experience with End Point Assessment coordination
- Knowledge of quality assurance processes in education/training
- Experience working with multiple stakeholders in a fast-paced environment
- Project coordination experience
- GDPR awareness and data protection knowledge
