Courses worked on over weekends and bank holidays to be given as time in lieu.
This role involves data entry and information collection, customer interaction both in and out of course time and various other tasks associated with the setting up and running of our revision courses.
This role has peak times around all school holidays, and therefore time off during these periods is not possible, with the exception of days in lieu on small courses. Working days will normally be Monday to Friday, 9am-5pm, however some weekend (up to 9weekends a year) and bank holiday work (up to 3 days a year) will be required, as well as being on call throughout period courses are running.
Responsible for:
- Invoicing customers, and tasks connected to this (e.g. chasing payments)
- Purchasing office and course supplies
- Manage customer relations from initial customer enquiry, through to completion of course
- Reviewing and sending out of student reports in a timely manner appropriate to customer expectations and in line with the quality of OXSS courses
- Presence on all courses, each teaching day, to help as necessary with any tasks that present themselves, aiding Operations and Course Director and other staff as required. Specific responsibility whilst on courses include: first line customer help (keypriority, when at all possible); student liaison e.g. sending student texts, behavior, chase missing students from tutorials etc, confirming alternative weekend plans; looking after and reassuring students; keeping database updated; gathering feedback, recordingand summarising
- Take on additional responsibility for standard OXSS holiday courses, when the Operations and Course Director is not present (although contactable at all times), including over weekends and bank holidays when courses run on these specific days (as teachingdays), taking on relevant duties. Only in exceptional and rare situations should the Course and Admissions Coordinator not be present (at the discretion of the Operations and Course Director)
- Bedroom allocations in advance of the course
- Dealing with rooming issues whilst the course is running. Ensuring that night/evening staff have up to date lists for each night and all info needed, including warden lists and under 16 lists/photos.
- Assist with the research and preparation of the activity plan for the evening entertainments programme, including purchasing relevant tickets and equipment
- Undertake training as required, for example safeguarding, first aid etc
- Ensuring First Aid box is suitably stocked
- Designated Safeguarding Lead
- Dealing with post as necessary
- Sending our brochures when requested
- Develop/maintain agent relationships
- Resource preparation for courses
- Aiding Operations and Course Director with any tasks as needed
- Holiday cover for other staff members
- Any other duties as required
Essential requirements
- The ability to communicate clearly
- High degree of accuracy in work, with excellent attention to detail

- Must be able to stand ground, whilst remaining friendly
- Enhanced DBS - company will organise this, but results must show the individual is suitable to work with young people.
Preferable requirements
- Fast typist
- Admin experience
- Microsoft office experience (outlook, access, word) - although training can be provided
- Experience with young people (ages 14-20 years)
- Degree educated
