**Job Purpose**
The purpose of the Operations and Maintenance (O&M) Land Management Coordinator role is to assist with contractual and statutory compliance for a portfolio of O&M contracts, following company safety, quality and environmental systems. The main goals are to help maximise the production from client assets, increase maintenance efficiency and achieve a high level of safety performance.
You will be from a coordination or administration background with some experience of maintenance procedures, land management/grounds maintenance or operating assets. A high level of organisation is required to be successful in this role.
**Organisational Context**
The client is a leader in renewable energy and is expanding its reach in the area of operational services. The business operates and maintains a portfolio of solar and storage assets and has plans to further expand the services offered.
**Accountabilities**
Reporting to the O&M Grounds Maintenance Manager, you will focus on the daily, weekly and monthly needs of the O&M service, supporting your Line Manager and other staff to provide the service in a safe, compliant, professional, and cost-effective manner.
Your responsibilities will include:
- Respond to daily requests for support from the site technicians and O&M Managers, prioritise any issues, and escalate as required.
- Record and maintain contractor certification status determined by training received, experience gained and in line with individual job role requirements.
- Monitor compliance with maintenance schedules, ensure high quality of documentation of completed maintenance, identify upcoming maintenance tasks, highlight overdue items for attention.
- Compile summaries of maintenance work completed, collating photographs, and drafting relevant insights, for monthly client reporting.
- Support manager with budget tracking, report compliance, RAMS reviews and purchase orders.
- Support as a point of contact and maintain healthy working relationships with Landowners & Shepherds.
- Identify and record potential site hazards and identify alternative methods and machinery for safe maintenance.
- Support with potential biodiversity and ESG improvement strategies for the portfolio in line with contracts, LEMP documentation and lease requirements.
- Attend weekly meetings with the Ground Maintenance Manager, RES O&M departments and RES Clients to discuss and action works.
- Maintain a Computerised Maintenance Management System (CMMS) and other quality management tools.
- Ensure client invoicing for any chargeable items is carried out and recorded accurately and promptly.
- Provide administrative support for the team, including booking travel and accommodation.
- Help organise team meetings and annual team events.
- Manage the grounds maintenance needs of the site following the contract, including liaison with technicians, sub-contractors, internal support staff and client. This includes budgeting, pricing, contracting, scheduling, reviewing RAMS, planning works, and progressing follow-up actions.
- Support with and progress corrective maintenance of civils and ecological improvement works including fencing, groundworks, planting, tree works and ecological surveys.
- Schedule, track and close routine grounds maintenance activities.
- Support monthly and annual reporting tasks.
- Contribute to Thrive cost-saving and other company initiatives.
- Partially deputise for the O&M Grounds Maintenance Manager, including approval of Upkeep WOs.
- Analyse maintenance KPIs and highlighting trends and anomalies.
- Track and compile the compliance score for solar O&M.
- Support the monitoring and escalation of site performance.
- Other responsibilities determined by the role
**Salary**
£25,000-£33,000 per annum with 20% bonus available
Working hours are Monday to Friday 40 hours per week.
