Our client who are leaders in their field, are looking for an enthusiastic and organised Office Manager to join their growing business.
It is a fun and energetic company with an ambitious workforce. They are looking for someone to help them support their talented team and maintain a positive and productive culture.
The right person will ensure high levels of organisational effectiveness, communication and productivity.
**Responsibilities include**:
- Managing internal and external communications, scheduling meetings, managing suppliers, greeting visitors and providing general administrative support to our employees.
- Previous experience as an Office Manager or Office Administrator would be an advantage.
- You should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.
**Responsibilities**
- Serve as the point person for office manager duties including, but not limited to:
- Client Invoicing
- Supplier negotiations / payments / management
- Bookkeeping (Sage & Xero) / expenses (where / if necessary)
- Social Media management (maintain / post / manage corporate social sites)
- Manage company website - maintain content / job posts
- Posting adverts on various jobsite platforms - Reed, Indeed, Guardian, Milkround etc
- Staff communications / contracts / holiday charts / administration etc
- Mail and Electronic Mail Shots
- Office Equipment and supplies
- Organising staff events / incentives
- Schedule meetings and appointments
- Organise the office layout and order stationery and equipment
- Maintain the office condition and arrange necessary repairs
- Update and maintain office documents and policies as necessary
- Organise office operations and procedures
- Coordinate with IT supplier on all office equipment / software / new start set up
- Support with contract and price negotiations with office vendors, service providers and office lease as appropriate
- Provide general support to visitors
- Assist in the onboarding process for new hires
- Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
- Liaise with facility management vendors, including cleaning, catering and security services
- Plan in-house or off-site activities, like parties, celebrations and conferences
- Maintain an effective office environment for staff to do fulfil their role.
**Requirements**:
*Proven experience as an Office manager, Front office manager or Administrative assistant
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Word, Excel and Outlook, in particular)
- Hands on experience with office machines (e.g. printers, computers, phones)
- Financial management experience
- Knowledge of social /digital media sites and website content (non-technical)
- Excellent time management skills and ability to multi-task and prioritise work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organisational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements Attributes
