The Clock Tower Surgery, a modern practice which provides primary care services to the registered homeless population in the centre of Exeter, are seeking an enthusiastic, non-judgmental and motivated Dental Link Worker & Support Administrator to support our patients.

The post holder will work within The Clock Tower Surgery, which currently provides primary care services to the registered homeless population in Exeter.
**The role will involve**:
- Supporting people experiencing homelessness to access dental services with dedicated homeless dental services provided by Peninsula Dental School & Dentaid charity. This will include arranging and reminding of appointments, liaising with support workers and, where appropriate, accompanying people to appointments;
- Maintaining and updating a spreadsheet of people needing dental services and helping to identify priority needs and arranging emergency dental appointments.
Devon Doctors Group are a not-for-profit organisation that has been delivering urgent care to Devon’s million plus residents for more than 20 years as Devon Doctors; since April 2018 we have also been providing the Integrated Urgent Care Service in Somerset as Meddcare. Additionally, as The Clock Tower Surgery and Access Dental we offer a range of dentistry and primary care services across the Peninsula.

Key Responsibility Areas
Dental Admin Role (8 hours per week on Wednesdays)
- Maintaining a spreadsheet of all people experiencing homelessness who have dental problems
- Prioritising the appointments according to the patient’s need eg accelerating the appointment if individual is in pain
- Scheduling appointments and Reminding patients and support workers of appointments
- Organising transport and directions for patients with appointments
- Organising support workers to accompany patients to appointments
- Where appropriate accompanying people to dental appointments using public transport (funded).
- Liaising with PDS about missed appointments
- Liaising with PDS about emergency appointments
General Practice Administrator role (additional 10 hours per week)
- Respond, using a helpful and problem-solving approach, to all queries and requests for assistance from staff and other visitors
- Ensure that the reception and waiting areas are kept safe and tidy
- Have up to date knowledge of computer systems
- Open and sort the mail for staff according to agreed procedures
- Undertake any administrative actions that the staff request verbally, via computer messaging or from the courier mail
- Ensure that the rooms are tidied at the end of the day and left ready for the following day
- Receive and make telephone calls, using a helpful and problem-solving approach; re-direct calls and take messages as appropriate
- Ensure that the telephone system is operational at the beginning of each day and switched over at the appropriate times. Report any difficulties with the operation of the telephone system
- Open up premises at start of day and make necessary preparations to receive visitors
- Secure premises at end of day, ensuring that building is totally secure, lights off and alarm activated
- Inform appropriate staff of any day to day problems, together with any possible solutions
- Any other delegated duties considered appropriate to the post
**Organisational Responsibilities for the Post Holder**:
- The post holder will be expected to adhere to all Devon Doctors Group policies, procedures and guidelines which are on the Organisation’s intranet.
- To report any incidences of safety breaches, including but not limited to accidents, complaints and defects in equipment.
- Troubleshoot simple computer problems and initiate repair or recovery.
- To ensure familiarisation with disaster recovery and emergency procedures
- The post holder must maintain a safe environment, taking care to avoid injuries and assist the company in meeting statutory requirements.
- Undertake all mandatory training and other training as required by the Employing Organisation and / or Line Manager.
- Abide by the NHS Code of Conduct
- Comply with the Duty of Candour
